Advance Distribution Infra Admin Specialist II

Kforce's client is seeking a highly organized Administrative Specialist II to provide administrative, operational, and reporting support to a business unit or department. This role is responsible for coordinating office operations, managing documentation, supporting purchasing and invoice activities, maintaining records, scheduling meetings, preparing reports, and serving as a key point of contact for internal and external stakeholders. The ideal candidate is detail-oriented, customer-focused, and able to manage multiple priorities while working independently in a fast-paced environment. Key Responsibilities:

• Perform administrative duties including document preparation, filing, recordkeeping, and handling confidential information
• Process purchase requisitions, vendor invoices, and related administrative transactions
• Monitor office supply inventory and coordinate purchasing activities
• Respond to internal and external inquiries and communicate information to appropriate personnel
• Schedule meetings, coordinate calendars, prepare agendas, and assist with meeting logistics
• Process forms, reports, records, and departmental documentation
• Maintain logs, databases, spreadsheets, and departmental tracking systems
• Prepare recurring reports, summaries, charts, graphs, and presentation materials
• Verify documents for accuracy, completeness, and compliance with procedures and guidelines
• Assist with budget tracking, payroll summaries, and financial data collection
• Support project coordination and assist with departmental initiatives as assigned
• Collaborate with team members, vendors, contractors, and business partners to ensure efficient operations
• Support emergency response activities and provide administrative assistance during critical events
• High School diploma/GED or equivalent required; Associate's or Bachelor's degree preferred
• 3+ years of administrative, office support, operations, or related experience
• Strong organizational and time-management skills
• Excellent written and verbal communication abilities
• Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
• Experience maintaining records, reports, spreadsheets, and databases
• Ability to manage multiple priorities and meet deadlines
• Strong attention to detail and problem-solving skills
• Ability to work independently with limited supervision

• Experience supporting accounting, purchasing, procurement, or operational functions
• Experience with SAP, ERP systems, purchase requisitions, or invoice processing
