Admin Assistant

Compensation & Schedule

• Pay: $18.00 per hour
• Schedule: Monday–Friday
• Hours: Part-time, hours vary based on workload and daily business needs
• Employment Type: Part-Time Contract

Key Responsibilities

General Office Support

• Answer and direct incoming phone calls in a professional and friendly manner
• Greet and assist visitors, clients, and vendors as needed
• Manage and organize physical and digital files and records
• Draft, proofread, and distribute emails, memos, and correspondence
• Make copies, scan documents, and handle basic office equipment
• Sort and distribute incoming mail and prepare outgoing mail
• Maintain a clean, organized, and professional office environment
• Order and track office supplies as needed

Administrative & Clerical Tasks

• Perform accurate data entry into spreadsheets, databases, or office management systems
• Assist with scheduling appointments, meetings, and conference calls
• Prepare and format basic documents, reports, and presentations
• Assist team members and management with day-to-day administrative tasks
• Support special projects and assignments as directed by supervisor
• File and retrieve documents quickly and accurately
• Follow up on outstanding tasks and communicate status updates to the team

Physical Requirements

• Prolonged periods of sitting and working at a desk or computer
• Ability to occasionally lift up to 20 lbs

Requirements

• High school diploma or equivalent required
• Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook) or willingness to learn quickly
• Strong written and verbal communication skills
• Highly organized with strong attention to detail
• Dependable, punctual, and professional in appearance and conduct
• Positive attitude and eagerness to learn and grow
• Ability to take direction well and work effectively in a team environment
• Comfortable with a flexible, varying part-time schedule based on workload
• Pre-employment background check required — must pass prior to start date
• Pre-employment drug screening required — must pass prior to start date

Preferred Qualifications

• Prior administrative, receptionist, or office support experience is a plus but not required
• Experience with data entry or document management
• Bilingual in English and Spanish is a plus
• Familiarity with general office equipment (printers, scanners, multi-line phone systems)

Work Environment

This is a part-time, in-office position in a professional and supportive environment. Hours will flex based on the volume of work each week, so the ideal candidate is someone who is adaptable, communicates well, and is available Monday through Friday as needed.
