We are currently seeking a full-time Office Assistant to handle a wide array of administrative tasks with a key client-facing role. This role is approximately 40 - 45 hours per week and is based in our office in Short Hills, NJ, with one or two days in our Bernardsville location.
We are looking for an individual who is comfortable stepping in and supporting their fellow coworkers when they are unavailable or overwhelmed. You should possess the ability to multitask while setting and maintaining complex schedules and providing administrative support. The ideal candidate for this job is client-focused, resourceful, extremely detail-oriented, diligent, and innately organized.
Specific responsibilities may include:
- Splitting time between client-facing work (~80%) and administrative support (~20%)
- Greeting employees, guests, candidates, and vendors warmly, helping preserve our welcoming culture
- Answering phone calls and responding to questions from prospective students and families
- Scheduling and maintaining daily sessions on a complex office calendar
- Making callbacks to hold or schedule New Client Calls
- Proctoring weekly practice tests for students
- Handling clerical tasks such as email communication, project tracking on spreadsheets, printing test packets, inventory, and document creation
- Managing select vendor relationships, including service requests and equipment repairs
- Supporting the Office Manager and/or Director of Business Operations on assigned projects
- Helping improve workflows and processes—revising procedures, creating new forms, and contributing to process improvements as the organization scales
REQUIREMENTS
Experience and qualifications
- At least 2 years of experience as an assistant
- Proficiency with Google Workspace (formerly G Suite)
- 2–3 professional references (current or former managers, colleagues, or clients)
Communication
- Superb interpersonal, written, and verbal communication skills, including professional email etiquette with clients
- Tact and diplomacy when working with children, parents, and staff
- High emotional intelligence, with the empathy and composure to deliver white-glove service — even in stressful situations

SCHEDULE
The schedule is Sunday - Thursday
- Sunday: 9:30 AM - 5:30 PM
- Monday - Thursday: 12:00 PM ET - 8:00 PM ET
- Friday/Saturday: OFF
- Must be able to work on select holidays
