About the Role

We're looking for an Administrative Assistant who can be both the warm face our clients see and the steady hand that keeps our office running. The person in this role is often the first impression a client has of our firm.

If you genuinely light up around people — especially older clients — and you also love details, systems, and getting things done right the first time, we want to hear from you.

What you'll do:

• Call existing clients and seminar prospects to schedule and confirm appointments — warm conversations, not cold calls
• Help run our estate planning seminars: confirming RSVPs, prepping materials, setting up the room, greeting attendees, managing sign-in, booking follow-up appointments
• Greet clients when they come into the office and make them feel taken care of
• Scan and upload legal documents (wills, trusts, powers of attorney, healthcare directives) into each client's digital estate plan
• Manage the calendar and keep appointments running on time
• Follow up with insurance and financial companies on pending paperwork
• Serve as a witness on notary appointments
• Help build better systems as we grow

The details:

• Part-time, 20-25 hours per week
• $21-23 per hour based on experience
• Monday-Friday schedule
• 2 evenings per month for seminars in the community
• In-office in Eagan — this is not a remote role
