Position Summary

The Sales & Marketing Coordinator supports the organization’s sales, customer development, marketing, and administrative activities. This position serves as a key point of contact for new customer onboarding, coordinates customer setup across internal departments, monitors new account activity, and supports ongoing customer relationships.

The position works closely with Sales, Operations, Accounting, and other internal departments to ensure new and existing customers receive timely and effective support. The role also coordinates marketing initiatives, customer communications, trade shows and events, sales reporting, commission reporting, marketing expenditures, and corporate communications.

The successful candidate must be highly organized, detail-oriented, customer-focused, and able to manage multiple priorities and projects independently. The position requires sound judgment, initiative, creativity, and the ability to communicate effectively with customers and internal stakeholders.

Job Duties and Responsibilities

Customer Onboarding & Sales Support

• Manage and coordinate the new customer setup process from receipt of the customer application through final completion.
• Coordinate with Sales, Operations, Accounting, Credit, and other internal departments to ensure all customer setup requirements are completed accurately and timely.
• Keep sales representatives and other stakeholders informed of customer setup status, outstanding requirements, issues, and completion.
• Assist with the onboarding and implementation of new customers.
• Monitor new customer activity during the startup period to ensure a successful transition into normal operations.
• Identify and communicate service, operational, billing, or implementation issues to the appropriate stakeholders.
• Collect, maintain, and update new and existing customer information within company operating systems and databases.
• Serve as an initial point of contact for prospective and newly established customers as required.
• Support sales representatives with customer information, documentation, reporting, and other sales-related activities.

Customer Relations

• Maintain regular communication with customers to evaluate service performance and ensure expectations are being met.
• Work with customers and internal teams to identify additional freight opportunities, growth potential, and areas for service improvement.
• Assist Accounting and customers with billing questions, discrepancies, and resolution of billing-related issues.
• Escalate customer concerns and service issues to the appropriate internal departments and monitor progress toward resolution.
• Support customer retention efforts by maintaining consistent communication and helping ensure a positive customer experience.

Marketing & Communications

• Coordinate advertising requirements with outside agencies and vendors, including reviewing proofs, communicating changes, and authorizing approved advertising for release.
• Coordinate company marketing programs, including website content and form updates, marketing campaigns, email marketing, and social media calendars.
• Maintain and update customer and prospect databases used for marketing campaigns and communications.
• Coordinate company social media activity across platforms including LinkedIn, Facebook, and Instagram with outside marketing team.
• Develop and update sales and marketing materials, presentations, literature, forms, and other customer-facing documents.
• Coordinate promotional merchandise and company giveaways for customer distribution, mailings, trade shows, and special events.
• Maintain consistency of company branding and messaging across marketing materials and communications.
• Update company documents, forms, presentations, and other materials as requested

Events & Corporate Programs

• Coordinate and manage trade shows, customer hospitality events, sales events, driver appreciation programs, and holiday season visits and other company-sponsored activities.
• Manage event planning activities including registration, vendors, promotional materials, logistics, schedules, and internal communication.
• Coordinate corporate charitable donations and maintain appropriate documentation and records.

Reporting, Budget & Administration

• Prepare and distribute monthly sales reports.
• Create purchase orders and maintain supporting documentation for Sales and Marketing expenditures.
• Monitor Sales and Marketing expenses against approved budgets.
• Assist management with compiling information and preparing the annual Sales and Marketing budget.
• Maintain organized records of marketing expenditures, commitments, and budget activity.
• Perform additional Sales, Marketing, customer support, and administrative responsibilities as assigned.

Qualifications

• Ability to communicate effectively, both verbally and in writing, with customers, coworkers, vendors, and management.
• Self-starter who is highly motivated, takes initiative, and demonstrates a strong desire to succeed.
• Strong customer service and relationship-management skills, including the ability to professionally manage challenging or emotional customer situations.
• Excellent active-listening skills with the ability to identify customer needs, concerns, and potential business opportunities.
• Ability to effectively multitask and manage multiple priorities, projects, and deadlines.
• Strong organizational skills with excellent attention to detail.
• Advanced proficiency in Microsoft Office products, with an emphasis on Microsoft Excel.
• Experience with CRM systems and customer databases is preferred.
• Ability to work independently while also collaborating effectively across departments.
• Strong problem-solving skills and the ability to exercise sound judgment.

• Ability to manage changing priorities and multiple responsibilities.
• Approximately 10% travel may be required for trade shows, customer events, meetings, and other business-related activities.

Performance Expectations

Success in this position will be measured by the timely and accurate onboarding of new customers, effective coordination between departments, quality of customer communication, accuracy and timeliness , execution of marketing initiatives and events, maintenance of accurate customer information, and overall support of customer retention and sales growth.

Starting pay based on experience.
