Position Summary

We're looking for a Recruiting Program Coordinator to own the operational backbone of our talent acquisition function. This is not an entry-level scheduling role, we need someone who can run recruiting programs independently, anticipate problems before they become bottlenecks, and bring process rigor to a fast-moving team with minimal oversight. You'll be the person hiring managers and recruiters count on to keep things moving, spot what's breaking in the pipeline, and fix it.

Key Responsibilities

Program & Scheduling Management

• Own end-to-end interview scheduling logistics across multiple roles, panels, and time zones, proactively resolving conflicts rather than escalating them
• Design and refine scheduling workflows to reduce turnaround time and improve interviewer/candidate experience
• Manage competing priorities across multiple open requisitions simultaneously

Reporting & Analytics

• Build and maintain recruiting dashboards and reporting (time-to-fill, funnel conversion, source effectiveness, offer acceptance) for leadership visibility
• Proactively identify trends, bottlenecks, and risks in the pipeline and recommend process improvements — not just report the numbers
• Partner with recruiting leadership on headcount and hiring plan tracking

ATS Ownership

• Serve as the subject-matter expert and system owner for the ATS, including workflow configuration, data integrity audits, and troubleshooting
• Train and support recruiters and hiring managers on ATS best practices
• Identify opportunities to automate or streamline ATS-driven processes

Candidate Travel & Experience

• Independently manage complex travel logistics for candidate on-sites, including budget tracking and vendor coordination
• Own the candidate experience end-to-end for on-site interviews, resolving issues in real time without needing direction

Kickoff Calls & Cross-Functional Partnership

• Lead or co-lead intake/kickoff calls with hiring managers, translating conversations into clear hiring plans and success metrics
• Act as a proactive partner to recruiters and hiring managers, flagging risks to timeline or process before they're asked

Recruiting Program Support

• Drive recruiting projects and initiatives (e.g., process redesign, tooling rollouts, employer branding programs) from scoping to completion
• Apply baseline recruiting skills (sourcing, screening, market knowledge) to support the team as needed, without requiring close supervision

Key Competencies

• Strong ownership mentality, comfortable identifying problems and driving solutions without waiting to be told
• Demonstrated ability to manage multiple projects independently with minimal guidance
• Strong analytical skills; comfortable building and interpreting recruiting metrics/dashboards
• Excellent communication and stakeholder management skills, including with senior hiring managers
• Experience managing travel logistics and vendor relationships a plus

• 3-5+ years of experience in recruiting coordination, recruiting operations, or a related HR/TA role
• Advanced proficiency with an ATS (Greenhouse, Lever, Workday, GEM, etc.)
