PUFF, Inc. is a commercial roofing contractor with our corporate offices in Charlottesville, VA. We have satellite locations in Richmond, VA, and Newark, NJ. We specialize in polyurethane foam and silicone coating roof systems primarily for state and federal government customers.

Job Summary:

We are seeking a detail-oriented and organized Office Manager to oversee the administrative operations of our office. The ideal candidate will be responsible for managing office activities and ensuring smooth daily operations.

Duties:

- General office duties, such as: answering phone, greeting visitors, processing mail, ordering supplies, correspondence, filing, etc.

- Administrative support to management and general staff, as well as remote support to satellite office staff.

- Proposal generation, timely RFP/RFI bid package preparation.

- Contract administration with emphasis on State & Federal construction contracts.

- Ordering project materials and supplies.

- Time and material allocations.

- Warranty administration.

- Human Resources - responsible for all aspects of employee and benefit administration.

- Safety coordinator - responsible for maintaining training and safety programs.

- IT support and computer maintenance; website updates.

- Back up to bookkeeper.

- Other duties as assigned.

Skills required:

- Minimum of 5 years in office manager/office administrator position.

- College degree preferred.

- Extensive experience in Microsoft Office Suite (Word, Excel).

- Experience in QuickBooks.

- Experience in Adobe Design Suite (Photoshop, Illustrator, etc.).

- Experience in government contract administration - submittals, AIA documents (pay apps, contracts), certified payroll reporting, etc.

- Virginia Notary

- Strong organizational and time-management skills

- Excellent communication and interpersonal abilities

Job Type: Full-time

Pay: $60,000.00 - $65,000.00 per year
