The Opportunity

The Supplies Specialist is responsible for ensuring Morris Business Solutions customers receive toner and printer consumables accurately and on time. This position utilizes FM Audit, a remote monitoring software platform, to proactively monitor customer printer fleets, identify supply needs, place orders, and coordinate shipments before customers experience downtime.

The ideal candidate is highly organized, detail-oriented, customer-focused, has strong communication skills, and is able to manage multiple priorities while maintaining exceptional accuracy.

Essential Duties & Responsibilities

• Monitor customer printer fleets daily using FM Audit software.

• Review automated supply alerts and verify toner replacement needs.

• Place orders for toner, maintenance kits, and other printer consumables.

• Coordinate shipments to customer locations to ensure timely delivery.

• Track supply orders from placement through delivery.

• Maintain accurate inventory levels for customer and warehouse stocked supplies.

• Work with vendors to resolve shipping delays, backorders, or product issues.

• Verify that customer devices are correctly reporting meter readings and supply levels.

• Maintain accurate customer records within FM Audit and company systems.

• Assist Service Coordinators and Service Technicians with supply-related requests.

• Communicate proactively with customers regarding supply shipments and order status.

• Research and resolve customer questions regarding supplies and toner deliveries.

• Monitor and reduce unnecessary toner shipments while ensuring customers remain operational.

• Identify devices that are not communicating properly and coordinate corrective action with the Help Desk.

• Assist with inventory counts and warehouse organization as needed.

• Recommend process improvements to increase efficiency and customer satisfaction.

• Perform other duties as assigned.

Required Qualifications

• High school diploma or equivalent (some college preferred).

• Previous customer service, administrative, inventory, logistics, or office support experience preferred.

• Strong computer skills including Microsoft Outlook, Excel, and Word.

• Ability to learn and utilize FM Audit software and other business applications.

• Excellent organizational and time management skills.

• Strong attention to detail with high accuracy.

• Effective written and verbal communication skills.

• Ability to prioritize multiple tasks in a fast-paced environment.

• Professional attitude with a commitment to customer satisfaction.

Preferred Qualifications

• Experience with managed print services (MPS).

• Experience using FM Audit or similar print fleet management software.

• Inventory management or purchasing experience.

• Knowledge of office printers, copiers, and toner supplies.

Physical Requirements

• Ability to sit for extended periods while working on a computer.

• Ability to occasionally lift up to 20 pounds.

• Ability to move throughout the warehouse or office when receiving or organizing supplies.

• Manual dexterity is sufficient to operate office equipment.
