General Definition of Work

Hiring Wage: $18.41 hourly This Office Technician I position is in the Business Services Team of the Wright County Health & Human Services Agency. Performs intermediate administrative support work providing customer service, clerical, office support and/or financial activities to assist in administering programs and services provided to the County and the general public. Work is performed under the moderate supervision of a supervisor and/or Department Director. This position is assigned to specialized functions within a Department.

• Greets visitors and answers telephones at front desk, serving as initial information source for visitors.
• Communicates with the general public, vendors, others in the work unit, across Department/Offices, and across agencies in person or by telephone contact to exchange basic fact information as requested; receives and responds to questions and requests of a routine nature and confidential in nature requiring general knowledge of County operations and procedures; maintains a supply of and distributes information materials to the public as appropriate.
• Performs records management duties specific to the Department/Office assigned; assists with maintenance and maintains Department/Office specific records; scans, indexes and maintains all current and historical files; carries out policy and recommends disposition of records to storage, and archives; identifies proper coding and enters into system; relocates and reorganizes records as necessary, purges and/or shreds records in accordance with record retention policies.
• Performs typing and computer input of data, correspondence, activities and other statistics.
• Composes, letters, forms, memoranda, and reports from abbreviated notes, tapes, and records; prints, scans, faxes and makes copies of materials; sorts and distributes mail; tracks shipments as required; maintains records and files documents.
• Responsible for complying with State of Minnesota data practices laws.
• Performs other duties and activities as assigned.

• Manages the scheduling of agency fleet vehicles to facilitate staff use of vehicles and coordinate regular maintenance appointments at the County Highway Department; is available to assist with fueling vehicles when required.
• Maintains inventory of conference items; checks rooms for general repair and maintenance; coordinates room set-ups.
• Ensures lobby security; serves as an immediate point of assistance for safety concerns.
• Serves as primary video conference liaison for staff, third parties, and the general public; processes conference invitations and electronically schedules and notifies staff; facilitates conference calling, registration, attendance tracking, and certificates distribution of all conferences held.
• Couriers mail to Post Office and between various county facilities.

Minimum Qualifications & Knowledge, Skills and Abilities

Education and Experience High school diploma or GED and one year of experience in clerical office support, or equivalent combination of education and experience. Special Requirements Requires the ability to type 30 words per minute. May require possession of, or ability to obtain, certain certifications or trainings depending on departmental assignment. A valid driver's license or evidence of equivalent mobility is required upon hire. Knowledge, Skills and Abilities Knowledge of or ability to learn County government work flows and processes; knowledge of basic office procedures; basic skill in the use of standard office equipment; including computer and software programs; verbal and written communication skills sufficient to effectively present information and respond to questions from a wide variety of audiences; reading comprehension skills sufficient to read and understand technical documents; interpersonal skills sufficient to exchange and/or convey information, receive work direction and maintain effective working relationships; ability to perform data entry into various databases; ability to learn and use computer systems and programs used to administer Department/Office programs; ability to format and prepare basic business communications; ability to apply program policies and guidelines related to Department/Office programs; ability to perform math calculations to calculate fees; ability to deal effectively with demanding/challenging individuals;ability to maintain a high level of confidentiality regarding sensitive information; ability to pay attention to detail and effectively organize time and anticipate, plan and successfully respond to changing circumstances; ability to perform all job duties in compliance with safety guidelines and with an ongoing awareness of safety practices; ability to communicate courteously and professionally while maintaining positive working relationships with others when carrying out all job functions.

Physical Requirements

This work requires the occasional exertion of up to25 pounds of force; work regularly requires sitting, standing, speaking or hearing and using hands to finger, handle or feel, frequently requires repetitive motions and occasionally requires walking, reaching with hands and arms, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound; work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities; work occasionally requires exposure to outdoor weather conditions; work is generally in a moderately noisy location (business office, light traffic).
