Summary

Transportation Assistant acts as primary contact to Veterans for transportation needs with the Veteran Transportation Service (VTS) Supervisory Mobility Manager for transportation workload forecasting, scheduling design, procedure development, and quality improvement implementation, modification of processes, evaluation, and ongoing operational flow of the Veteran Transportation Service (VTS) program. These positions are located at the VA Northeast Ohio Healthcare System in Cleveland, OH.

Major duties include but are not limited to:

• Performs work involving consult management, appointment scheduling and admissions scheduling.
• Daily responsibilities include collecting, compiling, and tracking data and statistical information in support of Veteran Transportation Service (VTS).
• Performs a basic analysis of the data and generates a variety of reports.
• Reviews documents, reports and/or applications for omissions and inconsistencies and ensures data entry is complete and accurate.
• Enters pertinent information into an automated tracking system.
• Coordinates service practices that decrease waits and delays for patients in all specialty areas.
• Utilizes the Veterans Health Information System & Technological Architecture (VISTA), Computerized Patient Record Systems (CPRS) or SharePoint Consult/Request Tracking System in processing internal consultations.
• Plans for, organizes, administers, and directs how the work will be accomplished for the Veteran Transportation Service (VTS) program.
• Planning responsibilities require consideration of support services e.g., systems management, operations, workload forecasting, review, and reporting of data/statistical results of program/project studies, vehicle maintenance and repair, etc.
• Coordinates the day-to-day operation of Veteran Transportation Service (VTS) program flow, processes, and functions.
• Plans and provides support services in the following types of program areas: electronic records management; driver scheduling setup & management; space utilization services.
• Provides advice to operating managers and supervisors on how provided services assist in accomplishing their missions and programs.
• Performs other related duties as assigned.

Work Schedule: Full time, Monday - Friday 8:00am - 4:30pm

• Physical Requirements: Incumbent will be exposed to stressful working situations that require a professional attitude and collective reasoning. The incumbent is subject to a high volume of work, the need for accuracy, frequency of interruptions and ever-changing demands due to program changes. Duties will be predominantly performed in the Veteran Transportation Service program office with intermittent trips to various locations throughout the Medical Center's catchment area both in and near patient care areas where there may be risk of exposure to disease.

Qualifications

SPECIALIZED EXPERIENCE: One (1) full year of specialized experience equivalent to at least the next lower grade level (GS-05) in the Federal Service, that is directly related to the work of the position and has equipped you with the particular knowledge, skills and abilities to successfully perform the duties as a Transportation Assistant for the GS-6 level. Qualifying specialized experience includes performing transportation support duties such as coordinating connections/scheduling, documenting travel information; collecting, compiling, and tracking data on a daily basis; performing a basic analysis of data and generating a variety of reports; entering data into automated tracking databases; and planning and directing a program that provides support services.

NOTE: One (1) full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
