This position’s responsibilities are carried out under general supervision. The incumbent is responsible for serving as an individual contributor providing day-to-day administration and operational support for assigned Enrollment Services programs. The position performs a variety of administrative, technical, and analytical duties requiring knowledge of applicable methods, procedures, policies, and systems in support of the organizational unit. Responsibilities include coordinating program operations, supporting administrative systems and reporting activities, collecting and analyzing information, applying and interpreting policies and procedures, and collaborating with campus partners to support efficient and compliant program operations. The incumbent exercises independent judgment in resolving routine administrative and operational issues, managing multiple priorities, and recommending solutions to support continuous improvement of program processes. Job Duties Coordinate day-to-day administrative and operational activities for assigned programs, ensuring accurate records and documentation. Coordinate program activities and collaborate with campus partners to support effective operations and service delivery. Collect, validate, and analyze information to support reporting, operational assessments, and process improvements. Interpret and apply established policies, procedures, and guidelines to support consistent and compliant program operations. Monitor program activities, identify administrative issues or discrepancies, and recommend or implement appropriate solutions. Serve as a primary resource for program inquiries and communicate information to internal and external stakeholders. Coordinate assigned program activities, projects, and operational initiatives, including tracking timelines, deliverables, and follow-up. Analyze and maintain administrative, financial, and operational records to support departmental planning and decision-making. Review and process administrative transactions in accordance with CSU and university requirements. Prepare reports, spreadsheets, summaries, and financial documentation for management review. Evaluate administrative workflows and recommend improvements to increase efficiency, accuracy, and consistency. Research and resolve administrative or financial issues requiring interpretation of established policies and procedures. Provide administrative and financial information to supervisors and campus partners as needed. Maintain administrative systems, records, and procedural documentation for assigned functions. Interpret and apply CSU and university policies, procedures, and guidelines. Compile and validate data for audits, compliance reviews, and reporting. Develop and update process guides, procedures, and reference materials. Review system data for accuracy and resolve discrepancies or process issues. Support system testing, implementation, and administrative process improvements. May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards. At the direction of appropriate administrator, may provide support to other areas as needed. Minimum Qualifications Education: Bachelor's degree and/or equivalent training. Experience: Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs. Preferred Qualifications Bachelor's degree in Business Administration, Public Administration, Management, Information Systems, or a related field. Minimum of 2 years of experience in administrative roles involving program coordination, project management, or office operations. Prior experience in a CSU or higher education setting. Experience using enterprise information systems, database management, reporting tools, or other business applications to support administrative operations. Experience interpreting and applying policies, procedures, and regulatory requirements. Experience coordinating multiple projects, priorities, or program activities while meeting established deadlines. Experience with student information systems (e.g., PeopleSoft). Knowledge, Skills, Abilities General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. Working knowledge of general practices, program, and/or administrative specialty. Basic knowledge of and ability to apply fundamental concepts. Working knowledge of budget policies and procedures. Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty. Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them. Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques. Ability to organize and plan work and projects including handling multiple priorities. Ability to make independent decisions and exercise sound judgment. Ability to compile, write, and present reports related to program or administrative specialty. Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit. Salary Range Anticipated starting salary will be $4,799(step 1) per monthplus excellent paid benefits. Future increases, including step advancement, are subject to contract negotiations. Full range Salary will depend on the qualifications of the successful finalist. Full$4,799(step 1) – $6,992(step 20) per month. Commensurate with qualifications and experience.
