This position partners closely with Project Managers and field personnel to ensure projects remain organized, staffed, and operating efficiently in a fast-paced environment. The ideal candidate is highly organized, adaptable, detail-oriented, and thrives in a role that requires multitasking, problem-solving, and responsiveness to changing operational needs.Collaborate with Field Division Regional Managers (RMs) and Project Managers (PMs) to coordinate travel arrangements, lodging, rental vehicles, and logistics for field personnel across multiple projects and regionsPartner with RMs and PMs to support project execution, scheduling, and workforce coordinationManage urgent travel changes, scheduling conflicts, and last-minute operational requests in a fast-paced environmentTrack travel expenses and assist with budget monitoring and reportingMaintain accurate schedules, records, and project-related documentationCommunicate effectively with internal teams, vendors, and field staff to ensure seamless coordinationSupport shipment scheduling, deliveries, and related logistical activitiesUtilize internal systems and software to manage schedules, travel coordination, and operational workflowsEnsure alignment with company safety policies, procedures, and operational standardsPerform additional operational and administrative duties as needed to support successful project executionHigh school diploma or equivalent3+ years of experience in travel coordination, logistics, workforce coordination, project support, or related operations rolesStrong proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and TeamsExcellent organizational skills with the ability to manage multiple priorities simultaneouslyStrong verbal and written communication skillsAbility to work independently and adapt quickly to changing priorities and deadlinesExperience coordinating schedules, travel, or logistics for field-based employees or distributed teamsBachelor's degree or equivalent experienceExperience coordinating travel and logistics in construction, healthcare, field service, or technical operations environmentsFamiliarity with scheduling or workforce management softwareExperience supporting multiple Project Managers and teams across different time zonesExposure to budget tracking, reporting, or project coordination activitiesHighly detail-oriented with strong follow-throughCalm and solution-focused under pressureAble to pivot quickly and prioritize effectivelyStrong sense of ownership and accountabilityCollaborative mindset with a customer-service approachComfortable working in a fast-moving operational environmentThis position is primarily office-based and requires extended periods of sitting and computer use.
