  • Summary

    The Senior Administrative Assistant provides high-level administrative support to managers, directors, vice presidents, and/or an entire department. The role involves handling confidential information, coordinating complex administrative activities, managing schedules and meetings, supporting departmental projects, and serving as a key internal and external point of contact.

    Key Responsibilities

    • Manage calendars, appointments, meetings, and engagements.
    • Coordinate meetings, conferences, travel, lodging, catering, and special events.
    • Handle confidential and sensitive information with discretion.
    • Prepare, proofread, and maintain documents, reports, spreadsheets, presentations, and databases.
    • Coordinate incoming correspondence, mail, inquiries, and departmental communications.
    • Monitor office supplies, equipment, inventory, and service requests.
    • Assist with expense reports, departmental budgets, expenditures, and accounting records.
    • Maintain organized filing systems, databases, and departmental records.
    • Research and resolve complex administrative issues.
    • Support office operations and implement process improvements.
    • Provide guidance or work direction to junior clerical/administrative staff when required.
    • Work independently while managing multiple priorities and projects.

    Minimum Qualifications

    • High school diploma or equivalent required.
    • 4+ years of administrative support experience preferred.
    • Business Administration or related college degree preferred.
    • Advanced proficiency in Microsoft Word, Excel, and PowerPoint .
    • Intermediate proficiency in Microsoft Access preferred.
    • Excellent written, verbal, and interpersonal communication skills.
    • Strong organizational, prioritization, and time-management abilities.
    • Ability to multitask and manage projects from start to finish.
    • Strong attention to detail and ability to adapt to changing priorities.
    • Professional telephone etiquette and business conduct.
    • Ability to handle confidential matters with discretion and sound judgment.
    • Ability to work independently with minimal supervision.
    • Strong work ethic and commitment to maintaining a positive work environment.
