Client Relations Specialist The Client Relations Specialist plays a critical role in ensuring accurate sample intake, smooth client communication, and high-quality customer service. This position bridges laboratory operations and client-facing responsibilities, requiring strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. Approximately 25% of the time will be dedicated specifically to sample receiving and log-in. Key Responsibilities Client Relations & Support Prepare and issue quotes based on client testing needs, specifications, and inquiries. Communicate with clients via phone and email to answer questions, provide guidance, and support testing requests. Process and fulfill sample media orders as they are received. Coordinate the return shipment of samples to clients upon request (email, phone, or chain of custody documentation). Address and resolve client concerns, issues, or escalations with professionalism and clarity. Sample Receiving & Intake Unbox, inspect, and verify incoming samples to ensure all materials match the chain of custody or internal submission forms. Accurately enter sample information into the laboratory information management systems (ChemLIMS/eLIMS). Confirm that each sample is correctly logged and labeled in the appropriate LIMS system. Identify and resolve discrepancies by contacting clients promptly to obtain missing information or clarify issues. Assess sample viability and suitability for testing based on established laboratory criteria. Invoicing and Invoice Review Qualifications Experience in a laboratory, environmental testing, or sample receiving environment preferred. Familiarity with LIMS systems, data-entry platforms. Strong communication skills, both written and verbal. Attention to detail and ability to manage discrepancies effectively. Customer service experience and comfort interacting with clients. Ability to multitask and prioritize in a dynamic environment.
