PMI Properties / JC Holland Capital District is looking for a part-time Maintenance Operations Coordinator to assist with the daily coordination of maintenance and service requests across our rental properties. This position will work closely with tenants, vendors, maintenance personnel, and the property management team to make sure work orders are properly scheduled, followed up on, and completed in a timely manner.

Responsibilities

• Receive and review tenant maintenance requests.
• Create, update, and track work orders in the property management system.
• Conduct move-in and move-out property inspections and reports, including documenting property condition, damages, photos, and items requiring repair or attention.
• Communicate with tenants to gather additional information and coordinate access when needed.
• Schedule repairs with maintenance personnel, contractors, and vendors.
• Follow up on open work orders and outstanding repairs.
• Communicate scheduling updates, delays, and completion information to tenants.
• Coordinate with vendors regarding appointments, estimates, invoices, and outstanding work.
• Maintain accurate notes, photos, invoices, and completion details within work orders.
• Escalate emergency, high-priority, or recurring maintenance issues to the Portfolio Manager.
• Assist with preventative maintenance, inspections, and property turnovers as needed.
• Maintain organized and up-to-date maintenance records.
• Provide additional administrative and operational support to the property management team as needed.Perform general maintenance work and minor repairs as needed and within the employee's ability, including basic property upkeep and routine maintenance tasks.

Requirements:

We are looking for someone who is organized, dependable, communicates well, and follows through. Strong customer service skills are important, as this position regularly communicates with tenants, vendors, and members of the property management team.

Previous experience in property management, maintenance coordination, dispatching, customer service, administrative support, or operations is preferred. Candidates should be comfortable using email, phone, property management software, and work-order systems while managing multiple requests at the same time.
