A well-established professional services firm in Pasadena is seeking a detail-oriented Payroll Assistant to join their growing payroll team. This position will support the processing of payroll for 8,000+ multi-state employees across the U.S. The ideal candidate is organized, deadline-driven, and thrives in a high-volume environment where accuracy and customer service are key.

Key Responsibilities

• Assist with processing bi-weekly and semi-monthly payroll for 8,000+ employees across multiple states.
• Review and audit payroll data for accuracy, including hours worked, earnings, deductions, garnishments, and tax withholdings.
• Support payroll specialists with payroll preparation, validation, and reconciliation activities.
• Enter and maintain employee payroll information within the payroll system.
• Research and resolve payroll discrepancies and employee inquiries.
• Assist with multi-state payroll tax compliance and reporting requirements.
• Process employment verifications, wage garnishments, and direct deposit updates.
• Generate payroll reports and assist with audits as needed.
• Maintain confidential employee information and ensure compliance with company policies and payroll regulations.
• Collaborate with HR, Benefits, and Finance teams to ensure accurate employee records and payroll processing.

Qualifications

• 1+ years of payroll, payroll support, accounting, HR, or related administrative experience.
• Experience supporting high-volume payroll processing preferred.
• Familiarity with multi-state payroll practices is highly desirable.
• Strong attention to detail and accuracy.
• Proficiency in Microsoft Excel, including sorting, filtering, and basic formulas.
• Experience with ADP, Workday, UKG, Ceridian, or other payroll systems is a plus.
• Ability to handle sensitive and confidential information.
