Are you an organized, detail-oriented administrative professional looking for a high-impact, fully remote opportunity supporting physician hiring? We are seeking a dedicated Physician Recruitment Assistant to join our team!

In this key remote position, you will work closely with recruiters to provide administrative and recruitment support throughout the physician hiring process, ensuring an organized and responsive experience for applicants. Operating during standard daytime hours (Monday through Friday, 8:00 AM - 5:00 PM), you will monitor candidate pipelines, track applicant referrals, process transfer requests, and communicate position status updates. You will also assist with candidate sourcing, screening, new hire packets, offer and confirmation letters, and recruitment advertising outreach. If you bring strong administrative experience, sharp attention to detail, proficiency in Microsoft Office, and the ability to manage confidential information with discretion, this full-year contract role offers a supportive environment to apply your talent.

Responsibilities

Position Summary:

Provide administrative and recruitment support throughout the physician hiring lifecycle, monitoring candidate pipelines, managing referral tracking, preparing new hire documentation, and assisting with candidate sourcing.

Key Responsibilities:

• Monitor candidate pipelines, forward applications and transfer requests, and track applicant referrals.
• Prepare new hire documentation, offer letters, confirmation letters, and candidate status updates.
• Communicate professionally with applicants regarding position changes while maintaining complete confidentiality.
• Support recruiters with candidate searches, database sourcing, and proactive recruitment strategies.
• Assist with recruitment advertising campaigns, journal postings, and direct mail outreach initiatives.

Requirements:

• High School Diploma or GED required.
• Minimum 1 year of recent relevant recruitment, staffing, or administrative support experience.
• Proven experience supporting candidate coordination, referral tracking, and recruitment documentation.
• strong proficiency in Microsoft Office, including Word, Excel, and Outlook.
• Exceptional customer service, organizational, and written/verbal communication skills.
• Preferred: Experience supporting physician, provider, or healthcare recruitment and sourcing within an applicant database.
