Office Support Administrator I

Office Support Administrator I Franklin, Tennessee Job Summary This role provides front‑desk receptionist duties for our Franklin, TN office and, at times, requires more advanced administrative support, including drafting letters, reports, charts, and graphs using word processing, spreadsheet, database, or presentation software. Responsibilities also include screen calls and visitors, preparing agendas, arranging travel for meetings and special events, and coordinating high volumes of lunch events and other in‑person meetings that recur weekly and often daily. Essential Functions Ensures cleanliness of all office areas (outside of janitorial services). Communicates with, and coordinates, office cleaning service and repairs. Handles package pickup and delivery. Sorts and distributes incoming mail and prepares outgoing mail and packages. Orders, checks in, and distributes general office supplies (coffee, vending, break room, restroom, mailroom, etc.). Performs general typing, copying, printing, binding. Performs basic data entry in information systems and databases. Generates simple documents such as letters, memos, spreadsheets, and presentations. Scans and sends documents to clients, sub‑consultants, and other Garver offices. Scans documents to electronic files. Provides service for office fleet vehicles as needed and maintains vehicle logs. Assists with fleet vehicle tag renewals. Assists with travel arrangements. Assists with agendas, meeting minutes, and attends meetings as needed. Codes, routes, tracks, and records office‑related invoices/expenses. Prepares expense reports. Maintains calendars for staff, conference rooms, vehicles, etc. Plans, coordinates, executes, facilitates, and cleans up office events (holiday party, summer picnic, retirements, morale activities). Plans, coordinates, and manages all aspects of recurring meetings, workshops, and lunch‑and‑learn sessions, including meals, printed materials, venue arrangements, audiovisual setup, and cleanup. Drives and champions Garver culture initiatives/Garver Ambassador. Other duties as assigned. Education Required High School Diploma or equivalent. Experience Required 1 year of professional experience. Licenses / Credentials Valid Driver’s License. Preferred Qualifications Basic IT experience. Knowledge Standard office equipment. Microsoft Office. Word processing, spreadsheets, presentations, and document creation. Skills in Organizational and prioritization skills. Communication and teamwork. Data entry/keyboarding. Customer service. Abilities Capability to become a trainer within the office support track. Operate standard office equipment (printing, scanning, faxing, copying, etc.). Problem‑solve and assist team(s) as needed. Physical Requirements Ability to sit for long periods of time. Lifting or carrying up to 30 pounds. Pushing or pulling. Keyboarding. Driving. Stooping, crouching, or kneeling. Ability to hear, understand, and distinguish speech to communicate in‑person and on the telephone. Visual acuity to read printed materials and screens. These physical demands reflect those that must be met by an employee to perform the essential functions. Work Environment This is an in‑office position; duties and responsibilities are generally performed in an office setting. Occasional travel to offsite locations to perform work and work‑related tasks or to attend meetings may be required.
