Location OverviewCboe HQ is located in the historic Old Post Office district, it’s a landmark that blends classic architecture with modern amenities. The building features expansive spaces with high ceilings and large windows, offering an abundance of natural light and panoramic views of the city skyline and the Chicago River.
With its prime location in the heart of downtown, the OPO Building provides easy access to major transportation hubs, including Union Station and multiple CTA lines, making it convenient for commuters. The building is home to a variety of amenities, including restaurants, a fitness center, and collaborative workspaces, creating a vibrant and dynamic work environment in one of Chicago's most iconic areas.
Role OverviewThe Event Planner is responsible for planning, coordinating, and executing corporate events that align with Cboe’s strategic goals and deliver meaningful experiences for internal and external audiences. This role collaborates with business units to define event objectives, coordinates logistics across venues, and ensures high standards of hospitality and professionalism. Events may be held onsite or offsite, and the planner will serve as a key point of contact throughout the event lifecycle.
Your ResponsibilitiesPlan and execute corporate events, including meetings, conferences, and special functions.
Collaborate with internal stakeholders to define event goals, target audiences, and success metrics.
Manage logistics including venue selection, vendor coordination, catering, transportation, and staffing.
Build and maintain event registration websites; manage attendee data and reporting.
Develop and maintain relationships with vendors, sponsors, and service providers.
Ensure consistent hospitality standards across all events.
Prepare event proposals, budgets, and post-event reports.
- Provide high-touch support for executive-level meetings, client events, leadership programs, and strategic corporate initiatives.
Coordinate post-event activities including budget reconciliation, communications, and survey distribution to evaluate success metrics and ROI.
- Track, manage, and reconcile event budgets while maintaining financial stewardship and identifying opportunities for cost savings and operational efficiencies.
Ensure vendor compliance with contracts, insurance requirements, and company policies.
Incorporate sustainability practices into event planning, such as waste reduction and eco-friendly materials.
Maintain detailed documentation of event plans, contracts, and communications for future reference
- Manage event technology platforms including registration websites, attendee communications, mobile event applications, surveys, and reporting tools.
- Leverage event data and analytics to measure program effectiveness and provide recommendations for future improvements.
- Coordinate cross-functional teams including Marketing, Communications, Facilities, Technology, Finance, and external vendors to ensure successful event execution.
- Support the continuous improvement of event processes, tools, and standards to enhance efficiency, scalability, and attendee experience across the event portfolio.
Maintain alignment with Cboe’s mission, values, and business objectives.
Travel occasionally for events, training, or inter-office coordination.
May be subject to additional responsibilities as needed
**Desired Qualifications/Experience/Certification/Education (in Order Of Importance)
**
· Minimum of 2 years of experience in event planning or coordinating corporate events, meetings, or weddings.
· Proven ability to manage multiple priorities while maintaining professionalism and customer service.
· Strong organizational skills and attention to detail.
· Comfortable working independently and collaboratively.
· Flexible schedule, including availability for evenings, weekends, and travel.
· Excellent verbal, written, and interpersonal communication skills.
· Proficiency in Microsoft Office (Word, Excel, OneNote) and event planning tools (e.g., banquet event orders, floor plans).
· Experience with property management and online registration software.
· Bachelor’s degree or equivalent experience.
· Valid driver’s license and clean driving record.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
· Ability to work effectively in both an indoor and outdoor work environment for 40+ hours per week (including sitting, standing, and working on a computer for extended periods of time).
· Ability to communicate effectively in a collaborative work environment utilizing various technologies such as: telephone, computer, web, voice, teleconferencing, e-mail, etc.
· Ability to work a flexible schedule, including evenings and weekends.
· Ability to travel as required.
· Ability to remain on feet, standing our walking, for the majority of the work day.
· Ability to maintain movement, including bending, lifting, and carrying up to a minimum of 35 lbs.
· Ability to operate an automobile within the parameters of the driving policy.
