Position Summary
The Faculty Workload Specialist plays a vital role in ensuring operational efficiency and academic integrity by coordinating accurate workload tracking, instructional assignments, and scheduling across divisions. The position directly supports Bellevue College's mission of providing exceptional student-centered education by promoting consistent academic planning, supporting equitable faculty workload distribution, and streamlining instructional operations. This role contributes to the college's strategic goals of innovation, accountability, and inclusive excellence.
This position is open to all candidates; however, internal applicants will be given priority consideration.
Pay, Benefits & Work Schedule
Position Salary Range: $45,900/year - $61,296/year
The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.
We offer a comprehensive compensation package with salary and benefits as the main components. Competitive salary is within the Range stated above, and commensurate with qualifications and experience. Generous benefits are offered through Washington State plans that includes multiple medical, dental, life and disability coverage choices for employees and dependents; choices of retirement and deferred compensation plans; paid holidays, sick, and vacation plans; transit program, reduced tuition, employee discounts and memberships, etc.
The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

Essential Functions
Class Building & Schedule Maintenance
Build classes in ctcLink utilizing tools and collaboration efforts from departments such as Excel, TeamDynamix, and SharePoint.
Troubleshoot scheduling errors, make changes, and communicate changes to departments.
Maintain enrollment requirement groups.
Apply appropriate class notes and Inclusive Access and other fees in coordination with the Bookstore.
Update class information as instructor assignments and modalities change providing support for Deans, Associate Deans, Assistant Deans, and Program Chairs.
Generate and verify quarterly enrollment reports.
Correct assignment types and verify instructor records (EMPL RECD).
Modify Instructor/Advisor table and reserve classrooms as needed.
Communicate class cancellations and assist with Canvas/course merge requests.
Troubleshoot scheduling and LMS integration issues; escalate to SBCTC as needed in coordination with the Director of OASIS (Academic Strategy and Integrated Scheduling).
Faculty Workload & Stipend Processing
Run Faculty Workload (FWL) calculations and reconcile employee records.
Code/process faculty contracts for part-time, moonlight, and special assignments.
Process stipends, build releases, and generate faculty contracts.
Back up the Director of OASIS on workload-related tasks.
Standardize and centralize faculty workload documentation procedures.
Run error reports and escalate unresolved issues to SBCTC in collaboration with the Director of OASIS.
Curricular Changes Documentation
Collaborate with Academic Affairs colleagues to process annual curricular updates.
Input and track approved changes across multiple systems of record.
Ensure curricular changes are communicated and implemented accurately.
Instructional Fees Audit & Compliance
Run fee-related data queries and verify catalog- and section-level fee accuracy.
Ensure clarity and transparency of course and term fees to students.
Resolve discrepancies and escalate unresolved issues to SBCTC with support from the Director of OASIS.
Other
Provide operational or project-based support to the OASIS team.
Participate in special initiatives or temporary assignments aligned with the Office of the Provost and Academic Affairs priorities.
Perform other duties as assigned.
Minimum Qualifications
Bachelor's degree; equivalent combination of education and/or relevant experience may substitute on a year-for-year basis.
Experience working with databases or database-driven systems.
Effective written, verbal, listening, and interpersonal communication skills.
Demonstrated ability to manage multiple tasks, prioritize effectively, and meet competing deadlines.
Experience working collaboratively with diverse colleagues and/or students in an inclusive environment.
Demonstrated ability to foster equity and belonging through cultural awareness and intercultural competence.
Proven success in collaborating with multiple internal and/or external stakeholders.
Proficiency in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and SharePoint.
Preferred Qualifications
Experience building class schedules and/or managing Faculty Workload (FWL) in ctcLink (PeopleSoft).
Experience working with PeopleSoft Campus Solutions or other higher education enterprise systems.
