Clayton Services is searching for a Service Assistant to join a thriving company in North Houston. The Service Assistant will provide administrative and operational support to a busy service department, working closely with field Service Technicians and service leadership to coordinate schedules, process documentation, and keep daily service activities organized.

Job Type: Temp-to-Hire Pay Rate: $24.00 - $26.00/hour Benefits: Excellent benefits are available after the successful completion of the temporary period, including medical, dental, vision, 401(k), PTO, and more.

Service Assistant Responsibilities:

• Provide daily administrative support to service leadership and field techs.
• Review and process field service documentation, labor records, and job-related information in QuickBooks and customer tracking systems.
• Maintain calendars, coordinate meetings, and assist with scheduling for service leadership.
• Process corporate card transactions, receipts, and supporting documentation.
• Coordinate with the safety team and assist with required safety-related scheduling and documentation.
• Assist with customer billing documentation and ensure required information is complete and submitted on time.
• Communicate regularly with service techs to collect required paperwork and resolve missing information.
• Review technician labor information for accuracy and assist with payroll preparation.
• Maintain organized service records and update information within company and customer systems.
• Communicate with customers regarding administrative, billing, and service documentation needs.
• Provide backup support to other members of the service administrative team.
• Other duties as assigned.

Service Assistant Skills and Abilities:

• Previous experience supporting Service Technicians or working within a field service environment.
• Experience with QuickBooks strongly preferred.
• Strong interpersonal skills with the ability to communicate and work effectively with a wide range of personalities.
• Excellent organizational skills with the ability to manage multiple priorities and deadlines.
• Strong attention to detail and accuracy when handling financial and service-related documentation.
• Excellent verbal and written communication skills.
• Strong customer service and problem-solving abilities.
• Comfortable communicating with field employees, customers, and management.
• Proficient with Microsoft Office and comfortable learning customer tracking and service management systems.
• Ability to work independently, take initiative, and follow through on assignments in a fast-paced environment.

Service Assistant Education and Experience:

• High school diploma or equivalent required.
• 2+ years of relevant administrative, service coordination, or industry experience preferred.
• Previous experience working directly with field or service techs strongly preferred.
• Experience with service administration, billing support, timekeeping, scheduling, corporate card processing, or QuickBooks is a plus.
