The ideal candidate will have strong administrative skills, excellent communication abilities, and prior experience in a medical or multi-specialty clinic setting.RequirementsHigh School Diploma or minimum 5 years of experience in a healthcare settingPrior experience as a clerk, office assistant, or administrative assistant preferredPrevious medical office or multi-specialty clinic experience preferredFamiliarity with EMR systems (preferably Epic) is a plusKey ResponsibilitiesFront Desk & Patient InteractionGreet patients and visitors professionally and direct them appropriatelyProvide information regarding services and programsMaintain a welcoming and patient-focused environmentScheduling & CoordinationSchedule patient appointments and procedures efficientlyManage no-shows, late arrivals, and rescheduling per clinic guidelinesCoordinate referrals and follow-ups as requiredPatient Registration & DocumentationPerform accurate patient registration and pre-registrationVerify patient identity using at least two identifiersCollect and update demographic, insurance, and guarantor informationMaintain accurate patient records in the systemInsurance & AuthorizationVerify insurance eligibility using systems such as HDX, PhTech, etc.Obtain referrals and prior authorizations as requiredEnsure correct diagnosis codes and authorization details are enteredBilling & PaymentsCollect co-pays, co-insurance, and outstanding balancesProcess payments and maintain accurate financial recordsBalance cash drawer and prepare deposits as per protocolCommunication & Office SupportAnswer and route calls using hospital phone and paging systemsMaintain professional communication with staff and physician officesAssist with retrieving and maintaining patient recordsEPIC & Administrative TasksEnter charges accurately using charge entry systemsComplete assigned work queues within timelinesMaintain scheduling templates and update as neededCompliance & ReportingEnsure HIPAA compliance and proper release of medical recordsMaintain logs and documentation within EPICAssist with data collection for reporting and performance trackingAdditional DutiesSupport referral coordination and follow-up trackingMaintain inventory and order supplies responsiblyAssist team members and escalate issues to management when neededPreferred SkillsStrong attention to detail and organizational skillsExcellent customer service and communication skillsAbility to multitask in a fast-paced environment
