Assistant Project Manager (St. Louis-based; No Travel Required)

Position Overview The Assistant Project Manager is accountable for developing, maintaining, updating, distributing, and managing estimates; observing and monitoring the performance of the Superintendent; and overseeing change orders and the billing process. This individual will also supervise subcontractor performance, ensure the project meets quality and performance specifications and regulatory requirements, manage the start-up of the project, review costs against estimates for each total project, and update labor productivity reports — all of which will be conducted under the direction of a Project Manager. Budget/Schedule/Cost Control Develops, maintains, updates, distributes, and manages estimates. Informs leadership of needed change orders and recommends a price for those changes. As directed, negotiates and implements change orders, including addenda to the contract and how to spread costs. Manages and monitors the critical path on the master schedule and all assigned aspects of the schedule. Demonstrates the ability to anticipate future problems or issues. Prepares contingency plans to address nonconformance issues for the company and subcontractors. Identifies project-specific staffing needs. Plans the construction approach, including methodology, means and master schedule. Monitors tool and equipment usage and intervenes as necessary. Ensures billing is accurate and timely to support cash flow. Monitors accounts receivable and engages with clients or subcontractors to determine reasons for non-payment. Controls expenses and costs on the project; reviews labor productivity and budget status; takes action to keep the project on budget. Reviews and approves charges to the project. Management Competencies Applies project controls software as a management tool. Ensures drawings are assembled, updated routinely, and maintained; maintains as-built drawings; ensures all change orders are documented. Maintains daily logs and timely reporting of issues that may lead to claims. Informs VP/PD/PM of issues and status promptly. Ensures safety-related and quality management documentation is maintained. Coordinates project start-up with internal and external team members. Manages the project according to company systems, policies, and procedures; manages risk exposures. Ensures equipment and supplies are ordered with long lead times and delivery is monitored. Conducts regular meetings with the Superintendent and subcontractors to coordinate activities and review progress. Reviews change orders and schedules them into the project; serves as a neutral arbitrator on jurisdictional issues when needed. Builds a positive, results-oriented culture and provides feedback to enhance performance. Monitors subcontractor performance and facilitates dispute resolutions and timely pay requests. Maintains effective working relationships with subcontractors; approves subcontractor invoices for payment and keeps billed work in balance. Manages all labor relations and jurisdiction. Construction Means and Methods Ensures the project meets quality and performance specifications and regulatory requirements. Conducts daily inspections and liaises with local inspectors to ensure compliance with quality management procedures. Manages the start-up of the project. End User Interaction Builds and maintains a positive working relationship with the client and the client’s agents. Understands key issues of the client’s business and critical operation aspects on site. Ensures the project is constructed and delivered as contracted, with systems and equipment functioning properly at project completion. Keeps the client informed of developments, change orders, and timeline updates; maintains accessibility through meetings, calls and correspondence. Responds promptly to questions and follows through on commitments to the client. Positions the company for repeat business with the client and stays alert for subsequent projects. Performance Exhibits knowledge of Built In Safety policies and practices; ensures project site safety and clear safety expectations for all on site. Implements safety incentives if applicable and monitors site for compliance; takes action on safety violations. Ensures accidents are reported and investigated; responds to OSHA visits; documents safety violations. Reviews costs against estimates and tracks variances weekly; accountable for change management; updates labor productivity reports weekly. Verifies and approves contract personnel timesheets weekly; manages change order and billing processes; directs project meetings and disputes with subcontractors as needed. Qualifications Qualified candidates will possess a Bachelor’s degree related to the construction industry, and 3 to 6 years’ experience in project engineering, construction project management, or related activities with exposure to projects of moderate scope.
