This role combines office administration, vendor coordination, facilities support, compliance tracking, work order management, and scheduling responsibilities. The ideal candidate is highly organized, customer-service focused, and comfortable working with multiple stakeholders in a fast-paced environment.Preferred QualificationsStrong verbal and written communication skillsExperience in office administration, workplace services, facilities coordination, or operations supportProfessional experience interacting with vendors and service providersExcellent organizational and problem-solving abilitiesAbility to manage multiple priorities with strong attention to detailComfortable working onsite in a collaborative environmentAbility to meet pre-employment health and onboarding requirementsKey ResponsibilitiesAdministrative & Workplace SupportProvide administrative support for workplace and facilities operationsCoordinate department meetings, training sessions, and special projectsPrepare reports, presentations, and operational documentationMaintain department records, files, and project-related informationServe as a liaison between internal departments, vendors, and business partnersSupport workplace requests and conference room setup coordinationFacilities Operations SupportAssist with work order administration and facilities service requestsMaintain data and documentation within facilities management systemsSupport vendor management, purchasing activities, and service agreementsTrack project status, invoices, proposals, and maintenance activitiesCoordinate with contractors and service providers to ensure timely completion of workCompliance & Safety SupportAssist with maintaining safety, compliance, and inspection documentationSupport workplace programs that promote safe and efficient facility operationsConduct routine system audits and data integrity reviewsMaintain records related to operational and regulatory requirementsScheduling & CoordinationSupport scheduling and assignment coordination for facilities staff and vendorsHelp monitor project timelines and operational activitiesRespond to workplace concerns and service requests in a timely mannerBuild positive working relationships with internal teams and external partnersPerform other related duties as neededIdeal CandidateThis role is ideal for someone with experience in workplace services, office administration, facilities coordination, property operations, or corporate services who enjoys keeping operations organized, supporting multiple projects, and delivering excellent customer service.
