Training Coordinator

We are seeking a business-minded, analytically driven L&D Operations & Training Coordinator to support our broader Learning & Development division. In this role, you will act as the primary operational owner for internal employee training and external vendor partnerships. You will bridge the gap between our internal staff and external educational partners (such as PMI or LearningTree) to coordinate certifications, virtual and onsite training events, and financial logistics. This is a hybrid role requiring residency in the DC, MD, or VA (DMV) area. While you will work remotely roughly 80% of the time, you must be available to go onsite to any of our DMV offices for training events and coordination (historically 3 to 5 times per quarter).

Key Responsibilities
Training & Event Coordination
- Manage End-to-End Logistics: Facilitate registration, schedule sessions, coordinate virtual and physical learning initiatives, and act as the primary onsite point of contact when training occurs at our DMV offices.
- Intake Management: Serve as the primary point of contact for intake requests to validate, schedule, and execute upcoming employee training sessions.
- Documentation & Optimization: Maintain and continuously improve standard operating procedures (SOPs), training FAQs, and other team resource documents.

Vendor & Partner Management
- External Liaison: Coordinate directly with external training organizations, partners, and vendors to facilitate specialized certifications (e.g., PMP certifications via PMI).
- Communication Hub: Deliver outstanding daily communication and writing support when interfacing with internal employees and external vendors.

Financial Coordination
- Procurement & AP Alignment: Partner with procurement, finance, and accounts payable to process vendor payments, open purchase orders (POs), and close out related tickets.
- Invoice Validation: Gather and validate incoming vendor invoices to ensure accuracy and monitor ongoing payment statuses.

LMS Administration & Data Analytics
- System Administration: Utilize PeopleSoft learning systems to manage course enrollment, schedule attendance, and track employee course completions.
- Data & Reporting: Serve as the operational owner for training data. Create scannable dashboards, scorecards, and monthly reports tracking financial spend, completion percentages, and training metrics.

Required Skills

Qualifications Experience:
- Minimum of 2 years of experience in training coordination or a closely related L&D operations role.
- Technical Skills: Proficiency in Microsoft Office 365 (advanced Excel, Word, and PowerPoint) is required. Direct experience with PeopleSoft or other Learning Management Systems (LMS) is highly preferred.
- Core Competencies: Strong business acumen, analytical mindset, and exceptional written and verbal communication skills.
- Industry Background: Healthcare experience is not required; we heavily prioritize strong training coordination and organizational expertise over specific industry backgrounds.
- Logistics: Must reside in the DMV area and be fully willing/able to travel onsite to DC, MD, or VA offices 3-5 times per quarter for events.
