Project Manager

The Project Manager leads the planning, execution, and delivery of construction projects for new and existing retail spaces. This role manages each project through the Feasibility, Planning & Design, Construction, and Turnover & Startup phases, ensuring delivery on scope, schedule, budget, and quality using industry-standard project management practices. Key Responsibilities Project Planning & Scope Document project requirements and objectives in a Business Case or Project Brief, and confirm applicable project guidelines. Support Real Estate representatives with pre-development research, including site analysis, cost estimates, and lease exhibit reviews. Coordinate with design teams to develop store designs, and review and approve construction documents at each project phase. Coordinate the integration of IT, Security, and Facilities requirements into the project. Obtain all required city, state, county, and other permits for remodeling and new construction projects. Document and track changes to project scope, and manage deviations from plan with realistic forecasts. Schedule Management Develop, sequence, and manage project schedules from concept through store turnover, using appropriate scheduling software and techniques. Produce schedules in formats suited to different audiences, and align schedules with the project budget. Review and validate schedules submitted by outside parties, and coordinate project team members to keep activities on track. Track progress against baseline schedules, and analyze and report on productivity and trends. Keep Operations informed of date changes and other updates that affect store operations, and ensure on-time store turnover. Forecast the schedule impact of proposed changes, and archive completed schedules to inform future project estimates. Budget & Cost Management Develop project estimates and budgets, from order-of-magnitude to detailed working figures, using current costing data and methods. Approve project expenditures and maintain cost management records, including budgets, forecasts, and cash flow. Verify expenditure documents and ensure consistency with approved budget allocations. Provide regular cost reports to management, including forecast-final-cost and cash flow projections. Estimate the cost of proposed changes and recommend corresponding budget adjustments. Manage the lien process, including maintaining records of preliminary liens. Quality & Risk Management Maintain contact with stakeholders to confirm project requirements and satisfaction with progress. Ensure punch list items are completed promptly, and oversee acceptance of contractor warranty work. Ensure a smooth transfer of care, custody, and control of the project upon completion. Identify and analyze project risks, and recommend avoidance or mitigation strategies. Monitor risk responses and document outcomes for future reference. Work with contractors and loss prevention teams to prevent theft at job sites, and safeguard company interests at all times. Communication & Reporting Report project status to stakeholders, and facilitate communication across all involved teams. Hold regular (at least weekly) site meetings with agendas covering key success indicators, and publish minutes within 48 hours. Track inspections, escalate unresolved issues, and document obstacles, delays, and claims. Close out and archive project documentation upon completion, including transfer of operational and maintenance records. Source, select, and maintain a pool of qualified, reliable contractors to support company development needs. Prepare RFPs and bid specifications for remodeling and new construction projects. Review and approve invoices from contractors, architects, engineers, and other vendors. Qualifications Education & Experience Minimum of 10 years of experience managing small to large, and highly complex, construction projects under limited supervision. Proven renovation experience in restaurant, hospitality, and retail environments. Working knowledge of construction and lien laws. Goal-oriented and action-focused, with strong project planning, organizational, and delegation skills. Excellent verbal and written communication skills, with the ability to present effectively to senior management. Strong leadership and coordination skills, with the ability to manage multiple projects simultaneously. Solid technical knowledge of construction methods, scheduling, estimating, and cost control. Proficient in Microsoft Word, Project, Outlook, and Excel, including spreadsheet development. Willing and able to travel approximately 25–75% of the time, including overnight stays, and to be stationed at project sites for extended periods.
