Office Manager — Chiropractic Clinic

HQ Chiropractic PLLC / Permian Injury Institute — Odessa, TX Full-Time | Monday–Friday, 8:00 a.m.–6:00 p.m. | $18–$24/hour (based on experience)

About Us

HQ Chiropractic is a busy, fast-paced chiropractic clinic in Odessa serving the Permian Basin. We treat a high volume of patients daily, and our front office is the engine that keeps the clinic running. We're looking for an experienced, hands-on Office Manager who takes ownership of the day — someone who manages patient flow in real time, keeps the team trained and productive, and doesn't wait to be told what needs to be done.

This is an exciting time to join us: HQ Chiropractic is part of the Permian Injury Institute , our new brand uniting chiropractic care, advanced MRI imaging, and injury rehabilitation on one downtown Odessa campus. As we grow into a multi-service institute, this role is a real opportunity to grow with us — the Office Manager will be central to how the front office scales.

What You'll Do

• Own daily patient flow: monitor the schedule, keep providers' schedules full, minimize wait times, and keep the clinic moving from open to close
• Manage the Saturday schedule, including patient bookings and staff coverage
• Supervise, train, and hold accountable the front-desk team — you are responsible for their performance
• Ensure all front-office and administrative work is completed daily with no backlog
• Handle insurance verifications and support the billing team; familiarity with personal injury patients is a strong plus
• Manage cash handling, scheduling, and daily reporting per clinic policy
• Communicate professionally with doctors, staff, patients, and attorneys' offices
• Report patient volume and operational metrics to ownership

What We Require

• 2+ years of medical, chiropractic, or clinic front-office experience (required)
• Prior supervisory experience — you have trained and managed front-desk staff (required)
• Bilingual English/Spanish (required)
• Working knowledge of insurance verification and billing basics (required)
• Punctual, reliable, and fully present during business hours — this is a floor-leadership role, not a desk job
• Professional demeanor under pressure and with high patient volume

Schedule & Compensation

• Full-time, Monday–Friday, 8:00 a.m.–6:00 p.m. (staff arrive 10 minutes early)
• Responsible for managing the Saturday schedule (bookings and coverage)
• $18–$24/hour depending on experience
• Paid time off and paid holidays
• Stable, established practice with room to grow
