Job Title: Youth Programming Coordinator Reports to: Mission Advancement Officer Hours per week: Full-Time ( 40 hours per week) Location: Mental Health America – Wabash Valley Region, 914 South Street, Lafayette, IN 47901, with regular travel throughout the community and service area. About MHA-WVR Mental Health America – Wabash Valley Region (MHA-WVR) is North Central Indiana’s leading mental health and substance use advocacy organization dedicated to promoting mental wellness, prevention, early intervention, and recovery for all Hoosiers. As a state affiliate of Mental Health America, MHA-WVR advances its mission through education, advocacy, comm unity-based programs, direct services, and public health initiatives, with a strong emphasis on youth, families, and underserved populations. POSITION SUMMARY The Youth Programming Coordinator is responsible for the coordination, implementation, and continuous improvement of community-based youth mental health, prevention, education, and early intervention initiatives across MHA-WVR’s service area. Serving as the operational lead for the Minds in Motion Youth Mental Health Bus and other youth-focused programs, this position oversees scheduling, logistics, community partnerships, volunteer engagement, program administration, and performance tracking. The Youth Programming Coordinator works closely with the Mission Advancement Officer, Marketing Director, program staff, schools, community partners, and volunteers to ensure programs are delivered efficiently, meet grant and organizational requirements, and create measurable impact for youth and families throughout North Central Indiana. This position requires exceptional organizational skills, project management capabilities, relationship-building expertise, and a passion for advancing youth mental health and community wellness. Essential Duties and Responsibilities This job description describes the general nature and level of work performed by employees assigned to this position. Program Management and Operations Serve as the primary coordinator for the Minds in Motion Youth Mental Health Bus and related youth-focused initiatives. Manage program scheduling, logistics, implementation timelines, and operational workflows from initial inquiry through program completion. Evaluate requests for bus visits and youth programming opportunities, assess alignment with organizational goals, and coordinate scheduling decisions. Develop and maintain annual, quarterly, monthly, and weekly program schedules. Coordinate staff, volunteers, transportation resources, materials, and community partners to ensure successful program delivery. Develop, maintain, and improve operational procedures, workflows, and program documentation. Monitor program implementation to ensure compliance with agency standards, grant requirements, and best practices. Identify opportunities to improve program efficiency, participant experience, and community impact. Community Partnership and Engagement Build and maintain strong relationships with schools, youth-serving organizations, healthcare providers, community agencies, and local stakeholders. Serve as a primary point of contact for community partners seeking youth mental health programming and outreach services. Represent MHA-WVR at community events, school programs, meetings, resource fairs, and public engagement opportunities. Support the expansion of youth-focused programming throughout the service area by identifying partnership and outreach opportunities. Collaborate with community partners to address emerging youth mental health and wellness needs. Volunteer Management and Workforce Coordination Ensure volunteers receive the resources, communication, and support necessary to contribute effectively. Maintain volunteer records, participation data, and engagement metrics. Support volunteer recognition, retention, and appreciation initiatives. Coordinate staffing logistics to ensure adequate support for programs, events, and outreach activities. Marketing and Community Outreach Support Collaborate with the Marketing Director to promote youth programming, awareness campaigns, and community initiatives. Coordinate the distribution of outreach materials, educational resources, and promotional assets. Collect participant stories, photos, testimonials, and mission moments to support marketing and community awareness efforts. Assist with community engagement campaigns designed to increase awareness of mental health resources and services. Ensure youth programs maintain consistent and professional community presence. Data Management, Evaluation, and Reporting Track participation, attendance, outreach activities, program outcomes, and community engagement metrics. Maintain accurate records and program documentation in accordance with agency policies and grant requirements. Monitor program performance indicators and identify trends to support continuous improvement. Assist with preparation of reports, outcome summaries, grant documentation, and stakeholder updates. Support data-driven decision-making and program evaluation efforts. Transportation and Program Logistics Safely operate agency-owned vehicles, including the Minds in Motion Youth Mental Health Bus, as needed. (This position does not involve transporting passengers.) Coordinate transportation schedules, routes, and logistical support related to mobile programming. Ensure program materials, equipment, and outreach resources are available and prepared for scheduled activities. Follow all agency transportation, safety, and risk management policies and procedures. Maintain a satisfactory driving record throughout employment. Organizational Leadership and Support Collaborate with staff across departments to advance agency-wide goals, strategic initiatives, and community impact efforts. Participate in staff meetings, supervision sessions, trainings, and professional development activities. Support organizational events, awareness campaigns, fundraising activities, and special initiatives. Demonstrate professionalism, accountability, ethical conduct, and confidentiality in all interactions. Contribute to a culture of trust, transparency, support, empowerment, and continuous improvement. Perform other duties as assigned. Qualifications Required Bachelor’s degree in Human Services, Social Work, Public Health, Education, Communications, Business Administration, Nonprofit Management, or a related field. Minimum two (2) years of experience in program coordination, project management, operations, event management, community engagement, or related work. Demonstrated experience managing multiple projects, timelines, schedules, and competing priorities. Possess a valid driver’s license and maintain a satisfactory driving record. Strong commitment to youth development, prevention, mental health, and community wellness. Exceptional organizational, planning, and project management skills. Strong verbal, written, presentation, and interpersonal communication skills. Ability to work independently while effectively collaborating with diverse teams and stakeholders. Strong problem-solving, critical-thinking, and decision-making abilities.Ability to manage complex logistics while maintaining attention to detail. Demonstrated professionalism, ethical conduct, and commitment to confidentiality. Ability to successfully pass criminal background checks and any required screenings. Proficiency with Microsoft 365 applications including Outlook, Word, Excel, PowerPoint, and Teams. Preferred Experience working with schools, youth-serving organizations, nonprofit agencies, or community-based programs. Experience coordinating volunteers, outreach initiatives, or community engagement efforts. Experience managing grant-funded programs and performance reporting requirements. Experience planning educational programs, community events, or prevention initiatives. Experience operating large vehicles, buses, trailers, or mobile outreach units (CDL not required). Physical Requirements Ability to lift, carry, move, and transport materials weighing up to 40 pounds. Ability to sit, stand, walk, bend, reach, and move throughout the workday. Ability to set up and break down program materials, displays, and outreach equipment. Ability to safely enter, exit, and operate agency vehicles, including the Minds in Motion Youth Mental Health Bus. Working Conditions This position requires frequent travel throughout MHA-WVR’s service area and work in a variety of settings including schools, community centers, healthcare facilities, nonprofit organizations, outdoor events, and other community locations. Occasional evening and weekend hours may be required to support programming, outreach activities, and special events.
