Job Description
The Division of Nephrology in the Department of Medicine has an excellent opportunity for a temporary Grants and Contracts Manager. This position oversees and facilitates the clinical research, translational and basic science research programs in the Division of Nephrology, including the Kidney Research Institute (KRI).
The Grants and Contracts Manager (GCM) is responsible for pre- and post-award administration for the Division of Nephrology, which includes the Kidney Research Institute. The GCM works directly with the Administrator, the Division Head, and the Director of the KRI, and provides research management expertise, review and execution of grants, contracts and subcontracts. The position has responsibility for ensuring the regulatory and fiscal accountability of the research enterprise and provides counsel to faculty and staff concerning administrative, research and fiscal processes associated with the research conducted. The GCM serves as the administrative liaison with multiple internal and external partners including offices and departments within the University of Washington and Veterans Health Administration, as well as sponsoring agencies including the National Kidney Foundation, American Society of Nephrology, Department of Defense, and most significantly, the National Institutes of Health. The GCM will manage the execution and implementation of clinical trials conducted by faculty by facilitating review processes through the UW's Clinical Trials Office, the Office of Sponsored Programs and multiple private funding sponsors. The Division's research portfolio also includes a number of privately sponsored contracts which will be executed and managed by the GCM in close conjunction with the faculty researcher.
DUTIES & RESPONSIBILITIES
Fiscal Operations and Long-Term Planning:
Organize and lead a primarily post-award grants/contracts team to facilitate effective award management. Assess opportunities to enhance the grant management process by eliminating bottlenecks, streamline processes, and partner with division and department leadership.
Partner with DOM research administrators and oversee all proposals submitted by faculty investigators in the division. Provide technical and administrative support during proposal submission and serve as the division’s primary compliance reviewer and approval for all proposals.
Independently manage the financial administration of complex sponsored projects for a subset of investigators, including budget reconciliation, expenditure review, cost transfers, and effort certification.
Provide effective strategic, intellectual and technical assistance to faculty and staff. Mentor, train, and advise program staff, research staff and research faculty to maximize pre and post-award operations and processes.
Partner with KRI leadership and staff to optimize pre- and post-award operations, ensuring smooth functioning with a goal of division wide standardized, efficient and compliant fiscal processes.
Manage and supervise grant and fiscal staff to ensure accuracy and reliability in managing grant resources. Provide training, guidance and advice to optimize fiscal operations and processes, which includes but is not limited to: payroll, procurement, progress reporting, closeout.
Represent the division in institutional working groups and strategic planning efforts related to research administration.
Compliance and Risk Management:
Promote compliance and risk management in accordance with policies of the University of Washington and sponsoring entities, most importantly, the NIH.
Interpret, analyze and implement federal, state, institutional and industry laws and policies as they apply to administrative and research operations. Integrate knowledge of compliance policies into KRI and Division operations and under the direction of the Administrator, guide full implementation of applicable policies.
Continually monitor and assess the Division's compliance around research and fiscal processes, troubleshooting and eliminating weakness areas and improving systems to strengthen the stability of the research enterprise.
Leadership:
Develop and implement effective division communications and workflow processes, in alignment with DOM and SOM integrated services.
Establish effective collegial working relationships with internal and external process partners and sponsors to facilitate work processes.
Provide guidance and mentorship for faculty and staff to enhance understanding around pre-award and post-award process and systems.
Strategize with KRI and Division leadership on program structure and staffing. Assist as needed with implementing appropriate staffing structure to ensure research and program operating needs are met.

LEAD RESPONSIBILITIES
Serve as the lead for post-award operations for the Division of Nephrology. This position oversees a grants and finance team and functions as the expert resource for the KRI and Division research enterprise.
SUPERVISORY RESPONSIBILITIES
Will supervise 3-4 FTE
MINIMUM REQUIREMENTS
Bachelor’s degree in business, accounting, or related discipline AND a minimum of four years of progressive related experience in a research, academic, or hospital setting, or equivalent combination of education and experience.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Excellent organization skills with strong attention to detail, strong problem-solving skills, resourcefulness and flexibility to adjust to dynamic work situations.
Demonstrated ability to prioritize competing demands to successfully meet multiple deadlines and project milestones.
Ability to work well under stress in a fast-paced environment with competing priorities.
Advanced skills and work experience, particularly with Excel but also with Microsoft Outlook, Word, PowerPoint.
Excellent written, verbal and interpersonal communication skills. Consistently displays customer service skills, prioritizing initiative and responsiveness.
Self-starter with the ability to work independently with a minimum level of supervision, exercise good judgement and make decisions when necessary.
Strong collaborative and leadership skills; team orientation, consultative by nature.
Ability to handle sensitive information responsibility and confidentially.
DESIRED REQUIREMENTS
In depth knowledge of Workday and other University systems, policies, and procedures.
Experience in pre-award research administration.
