About the Role
A leading provider in the insurance industry is seeking an Agent Onboarding Specialist to support the intake and setup of new agents joining their network. This role is ideal for a detail-oriented professional who enjoys working within structured processes, verifying documentation, and collaborating with agents to ensure a smooth onboarding experience. The position offers the opportunity to work with established vendor platforms and agency management systems while contributing to the accuracy and integrity of agent records. Job Description
The Agent Onboarding Specialist will be responsible for reviewing all new agent onboarding submissions for completeness, following a provided checklist and specific process instructions that outline the elements of a complete submission. This individual will access the client's agent onboarding vendor platform to retrieve and review submissions, and once verified as complete, will work within the agency management system to set up the new agent.
When a submission is found to be incomplete, the specialist will summarize the specific deficiencies (such as unsigned documents, missing fields, or missing forms) and email the agent to request the outstanding information. Upon receiving the agent's reply, the specialist will review the response for completeness before proceeding with setup in the agency management system. Strong written communication skills are essential, as drafting clear and professional email correspondence is a key part of the role.
Key responsibilities include:

• Reviewing new agent onboarding submissions for completeness using a provided checklist and process instructions.
• Accessing the agent onboarding vendor platform to retrieve and review submissions.
• Using data provided by retail agents in the agent portal to enter information and create new agency records in the agency management system.
• Downloading documents after review and saving them into the agency management system.
• Identifying incomplete submissions and drafting professional email correspondence to agents outlining missing or deficient items.
• Reviewing agent replies for completeness and finalizing setup in the agency management system.
• Assisting in the maintenance and clean-up of agent files with updated documentation from agents.

Qualifications
Required Qualifications:

• Strong attention to detail with the ability to review detailed forms and identify missing or incomplete information.
• General proficiency with technology and the ability to navigate multiple software platforms.
• Excellent written communication skills, particularly in drafting professional email correspondence.
• Ability to follow structured processes, checklists, and detailed instructions.
• Strong organizational skills and the ability to manage multiple submissions simultaneously.

Preferred Qualifications:

• Previous experience working with various technology or software solutions.
• Prior experience in the insurance industry or with agency management systems.
• Familiarity with vendor onboarding platforms or similar document management tools.
• Experience in a role requiring high-volume data entry and document review.
