The Coordinator, Markets & Franchise Success provides essential administrative and logistical support to the Markets team, ensuring a smooth and welcoming experience for new and existing franchise partners. *Note: This is not a marketing role. Reporting to the VP, Markets and Franchise Success, this role coordinates the day to day details that keep the team running from managing franchise onboarding communications and scheduling calls, to organizing materials for franchise and carrier events and supporting the planning of the company’s annual kickoff event. Key Responsibilities. Franchise Onboarding Coordination Coordinate the end-to-end administrative process for new franchise onboarding, ensuring each step is completed accurately and on schedule. Prepare and mail franchise onboarding packets, including training schedules, welcome information, and new franchise gifts. Serve as a primary point of contact for new franchise partners during the onboarding process, answering questions and directing them to the appropriate resources. Maintain accurate onboarding records and track franchise milestones to ensure timely follow-up. Partner with Training and other internal teams to confirm onboarding schedules and materials are current. Team & Administrative Support Provide general administrative support to the Markets team, including calendaring, correspondence, and document preparation. Own scheduling of franchise calls for the team, coordinating availability and communicating call details to all participants. Maintain organized records, contact lists, and shared team resources related to franchise partners. Support day-to-day office and operational tasks that keep the Markets team functioning efficiently. Assist with additional supportive duties as assigned by the VP, Markets and Franchise Success. Event Coordination & Logistics Assist in the coordination of franchise and carrier events, including gathering requirements and confirming logistics with internal and external partners. Coordinate materials needed for events, ensuring items are prepared, packed, and ready ahead of deadlines. Manage shipping of swag, print materials, and event supplies to ensure on-time, accurate delivery. Support the planning and coordination of the company’s annual kickoff event, including logistics, materials, and vendor communication. Track event-related budgets, orders, and timelines, flagging any issues to the VP, Markets and Franchise Success. Communications, Mailings & Materials Fulfillment Prepare and send franchise-facing mailings and communications related to onboarding, training, and events. Coordinate inventory and fulfillment of franchise gifts, welcome kits, and promotional materials. Maintain relationships with vendors and shipping partners to ensure quality and timeliness of materials. Ensure all franchise-facing communications and materials reflect We Insure’s brand and tone. Your Experience. Education Required: High school diploma or equivalent. Preferred: Associate’s or bachelor’s degree in business administration, communications, or a related field. Work Experience Required: 1–2 years of experience in an administrative, coordination, or customer service role. Preferred: Experience in insurance, franchise, or franchise support environments. Preferred: Experience coordinating events, meetings, or logistics. Preferred: Experience using CRM, project management, or scheduling tools. Knowledge, Skills & Abilities Strong organizational skills with the ability to manage multiple priorities, timelines, and details simultaneously. Excellent written and verbal communication skills, with a professional and welcoming tone. Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort learning new systems. Strong attention to detail and follow-through, particularly with onboarding materials and mailings. Ability to coordinate shipping and logistics accurately and on deadline. Customer-service mindset with a genuine interest in supporting franchise partners’ success. Comfortable working collaboratively in a fast-paced, team-oriented environment. Our Values. The We Way.
