Administrative Specialist for Special Projects and Executive Assistant to the Senior Director

Job Description The Executive Office of the President & Provost seeks an Administrative Specialist for Special Projects and Executive Assistance to support the Senior Director. The role involves managing special projects, providing high‑level administrative support, and enhancing process improvement and business continuity for the Executive Office. About This Opportunity Reporting to the Senior Director for Finance, HR, and Administration, the Administrative Specialist works closely with the Executive Office Finance and HR Management Teams to support a $50+ million budget and over 800 staff and student positions across multiple units. Vice Provost units Academic Personnel & Faculty Academic Strategy & Affairs Enrollment Management (Admissions, Financial Aid, International Student Services, Registrar) Campus Community Safety (Emergency Management, Husky Assist Mobile Response, SafeCampus, UW Police Department) Environmental Health & Safety Health Sciences Services Internal Audit Ombud Strategic Initiatives Office University Policy & Rules UW Investment Company (UWINCO) Attorney General's Office Board of Regents Office of Shared Governance The position is hybrid‑eligible with at least three days onsite and follows a standard Monday–Friday 8 a.m.–5 p.m. schedule. Key Responsibilities Special Projects Management (50%) Coordinate executive search logistics and communications with internal and external stakeholders. Provide logistical support for 5‑year leadership reviews of vice provosts and vice presidents. Support the Administrators Council by documenting decision‑making and coordinating meeting logistics. Manage other special projects and initiatives as assigned. Executive Assistance to the Senior Director (40%) Manage the Senior Director’s calendar, meeting logistics, and briefing materials. Screen and triage correspondence, drafting formal communications as needed. Coordinate day‑to‑day activities, special conferences, events, and travel. Process Improvement and Business Continuity (10%) Lead process improvement efforts for the Executive Office Shared Environment. Support EO Finance transactions and reconciliations, and manage filing as needed. Provide regular status reports and recommendations to the Senior Director. Required Qualifications Bachelor’s degree At least two years of administrative support experience at a senior or executive level Additional Qualifications Advanced writing and editing skills for complex documents and correspondence. Full proficiency in Windows and Microsoft Office. Strong organizational, time‑management, and interpersonal skills for a high‑profile, fast‑paced environment. Excellent written and verbal communication. Knowledge of communications technology tools (AV equipment, Zoom, Google Drive, SharePoint). Ability to remain composed under high pressure and deliver customer service under all conditions. Experience handling sensitive information with confidentiality. Preferred Qualifications Experience in a large, complex, and/or decentralized organization. Additional years of administrative support experience.
