Finance & Accounting Manager

Role Description

We are seeking a detail-oriented and dependable Finance & Accounting Manager to oversee day-to-day financial operations. This role is hands-on and operational, responsible for:

• Invoicing
• Collections
• Payroll
• Commission tracking
• Vendor payments
• Maintaining accurate financial records in QuickBooks Online

Qualifications

• At least 5 years of accounting or bookkeeping experience
• Advanced proficiency in QuickBooks Online
• Experience managing commissions and variable compensation
• Comfortable handling collections professionally
• Experience coordinating with external CPAs
• Strong organizational skills and attention to detail
• Clear written and verbal communication skills
• Experience in service-based businesses

Requirements

• Preferred: Experience with international payments
• Preferred: Experience in recruiting, SaaS, or professional services environments

Job Responsibilities

• Billing & Invoicing
  • Create and manage up to 100 invoices per month in QuickBooks Online
  • Ensure billing accuracy across multiple service lines
  • Maintain documentation of contracts, billing terms, and commission structures
  • Respond to client billing inquiries
• Accounts Receivable & Collections
  • Track all incoming payments (U.S. and international)
  • Manage AR aging reports
  • Proactively follow up on outstanding balances via email and phone
  • Maintain disciplined collection processes
• Commission Management
  • Calculate recruiter and channel commissions
  • Track variable and residual compensation structures
  • Ensure timely and accurate commission payouts
• Payroll & Contractor Administration
  • Process U.S. payroll for approximately 10 employees via QuickBooks
  • Manage 1099 contractor payments
  • Prepare and coordinate W-2 and 1099 filings
  • Oversee 401(k) contributions and related payments
• Accounts Payable
  • Manage vendor and contractor payments
  • Oversee recurring expenses and credit cards
  • Coordinate international payments and wires
• Financial Accuracy & Reporting
  • Maintain accurate books on a cash basis
  • Reconcile bank and credit card accounts
  • Maintain clean general ledger records
  • Export monthly financial reports from QuickBooks
  • Coordinate with CPA on tax filings and year-end close
