Veterinary Client Care Supervisor

ACCESS Los Angeles is seeking a Client Care Supervisor to join our growing team! The Client Care Supervisor plays a pivotal role in ensuring the efficiency and success of the Client Care Department. This position guides and trains team members on appointment scheduling, oversees the preparation of all necessary documentation for patient visits, and fosters a culture of exceptional customer service. Through clear and professional communication with clients and healthcare providers, the Supervisor ensures a seamless experience that meets both operational and patient care standards. Responsibilities Supervise, train, and support all department coordinators. Appointment Management: Confirm patient appointments and ensure scheduling accuracy to optimize workflow. Record Preparation: Verify all necessary medical records, referral documents, and pertinent information are attached for each appointment. Phone Communication: Serve as primary point of contact for incoming calls directed to the Bone and Joint Department via the phone tree system. Respond promptly to inquiries from patients, providers, and stakeholders. Voicemail Management: Regularly check departmental voicemails and return calls in a timely manner. Participate in monthly meetings with the Department to review and strategize ways to streamline performance and improve workplace culture. Demonstrate authenticity in all interactions; build rapport with clients and colleagues and actively listen to client needs. Partner with doctor assistants on appointment and surgery scheduling. Provide support to promote hospital-wide success. Inspire the client care staff to ensure high‑quality performance and efficient workflow aligned with departmental and hospital-wide goals. Key Qualifications Strong communication and interpersonal skills. Proficiency in office software and scheduling systems. Excellent organizational abilities and attention to detail. Experience in a healthcare setting is preferred but not required. Willingness to respond positively to staff requests and work effectively with others. Availability on weekends as required. Ability to multi‑task and handle several projects simultaneously. Great work ethic and thrives in a fast‑paced environment. Self‑starter who can work with and without direct supervision.
