Accounting Assistant

Devino CPA, PLLC is a growing accounting firm based in Clifton Park, NY. We provide tax and accounting services to individuals and small businesses across the Capital Region and throughout New York State. Our services include business and individual tax preparation, tax planning, ongoing accounting support, and small business advisory. We work closely with clients to help them meet their tax obligations, maintain accurate financial records, and make informed business decisions. While we serve clients year-round, our workload varies seasonally, as is common in our industry. Our peak service times are February through mid-April and late August through mid-October. The firm is built on a foundation of technical expertise and a commitment to delivering exceptional service. We utilize modern technology to work efficiently and provide a seamless and paperless client experience, allowing us to serve clients wherever they may be physically located. We’re currently seeking an Accounting Assistant who wants to contribute to the growth of the firm while developing their own skills. You’ll work directly with the firm’s owner, gain exposure to both client engagements and firm operations, and help improve how we serve clients. About the Role The Accounting Assistant role supports client accounting and tax engagements, as well as the daily internal operations of the firm. This position combines administrative, bookkeeping, and tax preparation support responsibilities. This opportunity is well suited for someone who enjoys learning, is interested in supporting the local small business community, and wants to build a career in the accounting profession. As your skills develop and the firm continues to grow, there may be potential to take on additional responsibilities and advance in either the operational or technical aspects of the firm. This is a hybrid position with a combination of remote work and time in our Clifton Park office. Regular in-office availability is required, with additional time in the office during initial training. This is a part-time position requiring 20-25 hours per week on average, with additional hours required during peak service times. Our target start date is early November 2026. Responsibilities Client Service and Administrative Manage routine client communications and requests. Coordinate scheduling and manage calendars. Maintain and update the firm’s client database. Assist with new client inquiries and support the new client onboarding process. Assist with internal projects and general administrative duties as needed. Accounting and Bookkeeping Enter and categorize transactions in QuickBooks Online. Reconcile bank, credit card, and loan accounts as part of monthly and quarterly accounting engagements. Identify missing information or discrepancies and follow up with clients as needed. Prepare organized and accurate accounting reports for CPA review, including Balance Sheet and Profit and Loss statements. Assist with year-end processes to support tax planning and tax preparation engagements. Tax Preparation Support Assist with our tax return intake process including requesting, tracking, and organizing client tax documents and information. Enter and verify general client information and common tax forms into tax preparation software. Assist with tax return assembly and delivery. Qualifications Associate’s degree in accounting or equivalent certificate. At least two years of experience in either accounting, bookkeeping, or administrative roles. Proficiency with QuickBooks Online or similar cloud-based accounting platforms. Strong knowledge of accounting fundamentals and journal entries. Strong technology skills and an interest in learning new tools, including AI platforms and software integrations. Proficiency with Microsoft Office and Google Workspace. Familiarity with file-sharing and electronic signature platforms (e.g. ShareFile, Docusign, etc.). Strong organizational skills and attention to detail. Clear and professional written and verbal communication. Positive and friendly demeanor with strong interpersonal skills. Ability to manage multiple priorities and work independently in a fast-paced environment. Preferred Qualifications Bachelor's degree in accounting. Experience using professional tax preparation software. Experience working in a New York State CPA firm. Experience working with CRM systems.
