The Sr. Site Contract and Payment Associate is responsible for managing clinical trial agreements, budgets, and site payment operations while ensuring accuracy, compliance, and operational efficiency throughout the study lifecycle. This role requires strong collaboration across internal teams, sponsors, investigative sites, and legal partners to support successful clinical research delivery.

• Independently facilitate the review, negotiation, and execution of Clinical Trial Agreements (CTAs) and contract amendments with sponsors, sites, and legal stakeholders.
• Develop, review, and negotiate clinical trial budgets, including per-patient costs, start-up fees, pass-through expenses, and overhead considerations.
• Track contract milestones, renewals, amendments, approvals, and payment terms throughout the duration of clinical studies.
• Analyze study protocols to assess financial impacts and ensure budgets align with fair market value expectations.
• Prepare reports and updates related to contract status, budget approvals, and payment progress for project teams.
• Collaborate with cross-functional teams including project management, clinical operations, information technology, and legal teams to resolve operational challenges.
• Manage clinical trial site payments by validating payment triggers, calculating milestones, reconciling invoices, and ensuring accurate and timely processing.
• Monitor data integrations between clinical trial systems and payment platforms, identifying and resolving issues that may impact payment timelines.
• Investigate and resolve payment discrepancies, including overpayments, underpayments, and documentation gaps.Provide guidance and support to other team members on contract, budget, and payment processes when needed.
• Maintain compliance with quality standards, regulatory requirements, data integrity practices, and organizational procedures.

Requirements:

The ideal candidate brings experience in clinical research administration, contract management, and payment operations, with strong analytical abilities and excellent attention to detail. Success in this role requires the ability to manage multiple priorities, communicate effectively with diverse stakeholders, and operate within a highly regulated environment.

• Associate’s or Bachelor’s degree in business, life sciences, or a related field, or equivalent combination of education, training, and experience.
• 2+ years of experience in clinical research administration, contract management, budget negotiation, or related functions.
• Experience working with clinical trial agreements, research billing processes, and clinical site payments.
• Background in a clinical research site, contract research organization (CRO), or similar healthcare research environment preferred.
• Strong understanding of clinical trial operations and relevant regulations, including GCP/GxP/ICH guidelines.
• Experience developing, reviewing, and negotiating clinical trial budgets and analyzing study costs.
• Strong organizational skills with the ability to manage multiple studies and deadlines simultaneously.
• Advanced proficiency with Microsoft Excel, Word, Outlook, and related business tools.
• Experience with clinical trial management systems, payment platforms, Veeva Vault, EDC systems, or similar technologies preferred.
• Excellent written and verbal communication skills with the ability to collaborate effectively across teams.
• Analytical mindset with strong problem-solving skills and a commitment to producing accurate, high-quality work.
• Ability to work independently, take ownership, and adapt to changing business needs.
