This role is responsible for the day-to-day execution of credentialing and administrative processes under the direction of the Medical Staff Services Manager. Responsibilities Essential Job Functions Process initial credentialing and re-credentialing applications for medical staff and allied health professionals. Maintain complete, accurate, and organized provider credentialing files. Track and monitor expirable (licenses, certifications, insurance, etc.) and follow up with providers for timely updates. Communicate with providers to obtain required documentation and ensure applications are complete and submitted within established timelines. Distribute and track privileging applications; review supporting documentation, including case logs, to confirm completeness and alignment with established privilege criteria, and elevate any discrepancies as appropriate; ensure receipt of all required documentation, including proof of professional liability insurance Coordinate orientation logistics. Lead provider and medical student orientation. Prepare credentialing and committee meeting materials and files. Assist with processing hospital and affiliation agreements. Enter and maintain data in credentialing software and internal tracking systems. Perform general administrative support tasks for Medical Staff Services. Maintain strict confidentiality of all provider and organizational information. Perform other duties as assigned by the Medical Staff Services Manager. Qualifications Education Required: High school diploma or equivalent. Preferred: Bachelor’s degree in healthcare administration, business administration, or equivalent. Licenses/ certifications/ registrations Required: None. Preferred: Certification through NAMSS (e.g., CPCS, CPMSM) or willingness to obtain. Notary Public is a plus. Experience Required: 3-5 years of experience in a healthcare administrative environment Experience working with physicians or healthcare providers Experience with databases and standard office software Preferred Previous credentialing or medical staff services experience Familiarity with DNV and/or CMS requirements Other NA Physical Requirements The physical and sensory functions described below are essential to the successful performance of this position. The role requires the ability to lift to 50 pounds independently and involve frequent pushing, pulling, carrying, or repositioning of objects or patients weighing up to 25 pounds. There may also be occasional lifting or transferring of individuals weighing over 100 pounds, with the expectation that appropriate lifting techniques, mechanical aids, or team assistance will be used to ensure safety. May to sit for long periods of time. Working Conditions This position is performed primarily in an indoor healthcare environment, such as a hospital, clinic, or long-term care facility. While the work setting is protected from outdoor weather conditions, it may be subject to variable indoor temperatures. The role involves frequent exposure to infectious and contagious diseases, hazardous materials, and medical equipment, with the expectation that all staff follow appropriate safety protocols and utilize personal protective equipment (PPE) as required. The health care environment can be fast-paced and unpredictable, requiring the ability to respond quickly to changing circumstances, including high-pressure or emergency situations.
