Responsibilities

• Manage front desk operations, including greeting visitors, answering the phone, and directing calls with excellent phone etiquette.
• Handle data entry tasks accurately using spreadsheets and productivity software, ensuring all records are up-to-date and well-organized.
• Support office management by maintaining filing systems and preparing documents through word processing and proofreading.
• Assist with client communication and customer support by responding promptly to inquiries via phone or email, providing professional assistance at all times.
• Utilize computer skills to operate office equipment, update databases such as QuickBooks for financial transactions, and perform general clerical duties.
• Assist with new employee onboarding, including coordinating training.
• Contribute to a positive office environment through excellent organizational skills, time management, and proactive problem-solving.
• Run occasional company errands, such as post office or DMV.

Requirements

• Proven experience in an office environment with strong clerical skills and familiarity with office management tasks.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong typing, data entry, and proofreading abilities.
• Technical proficiency with computer literacy including familiarity with productivity software such as spreadsheets and document processing tools.
• Experience answering calls and demonstrating excellent phone etiquette for effective communication.
• Fluency in Spanish and English REQUIRED to support diverse client needs and enhance team communication.
• Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously.
• Previous experience in customer service or front desk roles that involve client communication and support.
• Knowledge of QuickBooks or similar accounting software is a plus for handling financial transactions accurately.
