Overview The purpose of the Admissions Officer is to audit candidate files, receive official documents for evaluation, recruit and communicate with potential and new students from a variety of venues, evaluate and address potential applicants and their needs to select and provide proper candidates for enrollment. This entry‑level role requires some experience. The officer supports the Admissions and Marketing department by scheduling tours, interviews, student services, participating in events in and out of St. Louis, and advising in the admissions process. The position reports to the Admissions Manager and analyzes applicant files for committees, conducts conferences with high school and university students, and informs the public about PHSU academic offerings in St. Louis. The role requires office presence and occasional travel to Puerto Rico and possibly other schools during key enrollment periods based on business needs. Responsibilities Contact incoming inquiries for potential admissions into graduate programs. Verify and review applications and pre‑qualify candidates for the Admissions Committees. Data‑entry of documents and information received from candidates into the SIS for reporting purposes. Audit prerequisites and documentation for file completion across multiple software systems. Communicate with candidates in a courteous manner about admissions processes, acceptance protocols, PHSU policies, and other pertinent information. Make outbound calls up to 100 per day. Participate in recruitment fairs, campus tours, open houses, webinars, conventions, and all PHSU admissions activities including Orientation. Analyze and prepare monthly and quarterly enrollment and matriculation reports for the Dean of Enrollment Management and Student Success. Complete processing of new enrollment files within 30 days of each start date. Support admissions teams with calls and call blocks as needed. Enter student applications into the Jenzabar system as they are received. Attend campus‑sponsored events virtually and in person as needed. Be available to work evenings and weekends as needed for business purposes. Other duties as assigned. Competencies To perform the job successfully, an individual must be dependable and possess excellent interpersonal and communication skills, and be able to interact effectively with prospective students, faculty, and staff. The candidate must demonstrate the ability to meet and/or exceed set goals and objectives, prioritize tasks, and maintain excellent written, verbal, and customer‑service skills. Timeliness, multi‑tasking, and the ability to meet deadlines are required. Availability to work after hours and weekends when necessary is essential. Qualifications Minimum of an Associate’s degree or equivalent experience. Bachelor’s Degree preferred. One year of related experience in a high‑traffic higher education or university office environment. Graduate health‑care admissions preferred. Computer Skills: General knowledge of computers; proficiency in Microsoft Office applications (Word, PowerPoint, Outlook, Excel); experience with virtual meeting platforms such as Zoom and Microsoft Teams; strong knowledge of Jenzabar, WebAdmit, OnBase, JRM, and Salesforce (CRM). Certificates, Licenses, Registrations: Certifications in administrative proficiencies are appreciated. Physical Demands The role requires sitting, typing, operating office equipment, handling books, files, and documents. It involves talking and hearing over the phone and assisting others. Occasional standing, walking, reaching with hands and arms, climbing or balancing, stooping or kneeling are required. The employee may lift objects weighing from 10 to 30 pounds and occasionally up to 50 pounds. Close vision is necessary to use the computer and general vision and depth perception for safety. Work Environment The work environment is a normal office environment with mild to moderate noise levels. The position often requires producing results in a fast‑paced environment, requiring independence, autonomy, and little direct supervision. A professional manner is expected as a representative of the university. Leadership ability and acceptance of performance feedback are required.
