Our client is seeking an experienced Manager of Property Management to establish and lead a newly created Property Management and Lease Administration department supporting a growing, multi-state retail real estate portfolio. This is much more than a traditional property management role. What You'll Get to Do As Manager of Property Management, you will build and oversee the property management and lease administration function for a large retail portfolio. You'll create the framework for consistent, scalable property operations while serving as a key partner to Real Estate, Facilities, Construction, Legal, Finance, Accounting, and Operations. Build the Function Design and implement property management and lease administration processes, standards, reporting, and workflows. Establish clear ownership, accountability, escalation protocols, and cross-functional handoffs. Create portfolio reporting and risk-tracking tools covering critical dates, landlord obligations, property issues, occupancy costs, lease risks, and deferred maintenance. Develop consistent standards for landlord communication, issue intake, resolution, and escalation. Identify opportunities to improve efficiency, reduce occupancy costs, and protect asset value. Provide leadership with meaningful insight into property conditions, lease obligations, financial exposure, and operational risks. Lead People & Build a Team You'll lead, coach, and develop a small property management and lease administration team while establishing the foundation for a high-performing function. Set clear goals, priorities, performance expectations, and development plans. Build cross-training and operational depth across lease administration and property management. Foster accountability, collaboration, continuous improvement, and professional development. Partner with HR and leadership on hiring, onboarding, training, and succession planning. Own the Property Portfolio You'll serve as a key property-management contact for landlords and help ensure operating locations have the property support they need. Oversee day-to-day management of a multi-state retail property portfolio. Own the intake, tracking, prioritization, escalation, and resolution of property-related issues. Build strong relationships with landlords, developers, brokers, municipal agencies, vendors, and other partners. Conduct property inspections and identify property condition, maintenance, safety, and lease-compliance concerns. Coordinate with Facilities, Construction, Legal, Real Estate, Operations, landlords, and vendors to resolve issues. Monitor landlord and vendor performance and enforce landlord obligations. Support new-location openings, acquisitions, relocations, redevelopments, and dispositions. Ensure effective handoffs from Real Estate to Property Management after lease execution. Support emergency property issues and coordinate timely solutions to minimize business disruption. Establish a regular property issue-review cadence with Operations and Facilities. Property management is about more than buildings-its also about protecting the bottom line . Develop annual property operating budgets and capital expenditure forecasts. Monitor occupancy costs, CAM charges, taxes, insurance, utilities, and other property expenses. Review landlord invoices, reconciliations, rent charges, and other property-related financial obligations. Validate CAM, tax, insurance, and operating expense reconciliations for accuracy and lease compliance. Partner with Finance and Accounting on reporting, expense management, and occupancy-cost trends. Identify savings, recoveries, avoided costs, and financial opportunities through CAM audits, landlord negotiations, lease enforcement, invoice reviews, tax analysis, and vendor management. Prepare financial analysis supporting renewals, relocations, acquisitions, and capital investments. Strengthen Lease Administration You'll establish the governance and discipline needed to ensure critical lease obligations are understood, tracked, and fulfilled. Oversee lease administration and ensure accurate lease abstracts, critical dates, rent schedules, documents, and reporting. Monitor renewals, expirations, rent escalations, options, notices, landlord obligations, and other critical terms. Establish and manage a comprehensive critical-date governance process. Partner with Legal, Real Estate, and Operations on lease interpretation, disputes, notices, amendments, and enforcement. Maintain complete and accurate lease records and document-retention processes. Own lease-administration intake for new, acquired, renewed, amended, relocated, and closed locations. What You'll Bring We're looking for a builder, problem-solver, and leader who can operate strategically while still rolling up their sleeves. Bachelor's degree in Business, Real Estate, Finance, Property Management, or a related field preferred. 7+ years of commercial property management, real estate, or related experience. Retail, multi-site, or multi-state portfolio experience strongly preferred. Experience building or improving property management, lease administration, landlord-management, or portfolio-support processes. Prior team leadership experience preferred. Strong understanding of commercial lease administration, retail real estate operations, facilities coordination, property maintenance, vendor management, risk management, and expense controls. Demonstrated ability to manage budgets, CAM reconciliations, occupancy costs, and property-related financial obligations. Strong analytical, negotiation, communication, relationship-building, and problem-solving skills. Ability to create processes from the ground up, define ownership boundaries, and develop practical reporting tools. Highly organized with the ability to manage multiple priorities, deadlines, projects, and stakeholders. Proficiency with Microsoft Office, particularly Excel. Experience with lease administration or property management software preferred. CPM, RPA, FMA, ICSC, or similar credentials are a plus. Ability to travel up to 40% as needed. Ability to respond to urgent property matters outside normal business hours when necessary. Why This Opportunity?
