POSITION SUMMARY 

 

The Service Coordinator is responsible for coordinating and managing service requests, scheduling jobs and projects, and ensuring the timely delivery of services to clients. This role serves as the primary point of contact for clients and technicians, facilitating communication and resolving issues, while maintaining accurate records and reports on service activity and performance. This role is also a common first step toward Service Manager and Branch Manager positions for those who want to grow within CraneTech.

ESSENTIAL DUTIES & RESPONSIBILITIES 

 

The functions below are essential to this position. This list is representative, not exhaustive; the employee may perform other related duties as assigned. 

• Receive and process service requests from clients, sales, and management via phone, email, or online portal. 
• Coordinate with vendors to confirm timely delivery of materials, rental equipment, or subcontractor support. 
• Provide administrative support to the service department, including maintaining files, creating job and non-job related purchase orders, and processing invoices. 
• Schedule service jobs and projects, assigning technicians based on availability and expertise. 
• Communicate with clients to confirm appointments, provide service status updates, and address concerns. 
• Coordinate with technicians to ensure they have the necessary equipment and materials to complete assigned work. 
• Monitor service activities to ensure on-time completion that meets safety, quality, and customer experience standards while supporting profitability. 
• Track and document service requests, including client information, service details, and resolution outcomes. 
• Collaborate with sales, operations, and other departments to coordinate service activities and support business objectives. 

 

QUALIFICATIONS 

 

Education & Experience 

• Bachelor's degree in business administration, customer service, or a related field preferred; equivalent experience considered. 
• Proven experience in customer service or service coordination. 

Knowledge, Skills & Abilities 

• Proficiency in Microsoft Office Suite and experience with ERP and CRM software. 
• Excellent communication and interpersonal skills. 
• Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities. 
• Ability to work independently and collaboratively in a fast-paced environment. 
• Flexibility to adapt to changing priorities and unexpected challenges. 
• Working knowledge of service management principles and best practices preferred. 

 

WORK ENVIRONMENT 

 

Profile C — Branch Administrative Role 

This position operates primarily in a branch office environment, with regular movement between the office and the adjoining shop floor. In addition to standard office conditions, the Service Coordinator must be comfortable standing and walking through active shop areas, which are not always clean and may involve grease, dust, noise, and moving equipment. This role regularly interacts with delivery drivers and vendors to confirm materials, rental equipment, and subcontractor support. 

TRAVEL REQUIREMENTS 

 

Minimal travel required; this role is based primarily in the branch office.
