Job Title: USA - Shipping Associate II Job Description
The Shipping Associate II coordinates internal and external shipping arrangements for international orders while ensuring strict compliance with U.S. and foreign government regulations. This role manages the end-to-end supply chain process, including preparing customs documentation, coordinating with freight forwarders and carriers, and monitoring shipments to ensure timely delivery. The position focuses on optimizing shipping costs, preventing border delays, and troubleshooting transit and supply chain disruptions across multiple currencies and time zones.
Responsibilities- Pick, pack, and ship international customer orders accurately and efficiently.
- Prepare and verify commercial invoices, certificates of origin, and customs declarations to prevent border delays and unexpected duties.
- Book and track international shipments via air, sea, and land freight, ensuring on-time delivery.
- Coordinate directly with freight forwarders and carriers to manage shipment schedules and resolve transit issues.
- Oversee the full order lifecycle from order entry through shipment notifications across multiple currencies and time zones.
- Manage customer-requested shipping and tracking information and communicate updates clearly and promptly.
- Ensure all U.S. and foreign customs export/import requirements are met, including compliance with United States Export Administration Regulations.
- Determine Export Control Classification Numbers (ECCN) for products and ensure proper classification for export.
- Review customer shipping instructions carefully and follow them to ensure high levels of customer satisfaction.
- Prepare all export documentation for overseas orders as required by U.S. and foreign freight companies.
- Create and modify customer invoices daily using Adobe Acrobat or Kofax software.
- Identify, address, and resolve issues with carriers to maintain smooth shipping operations.
- Escalate issues that cannot be resolved independently to the warehouse supervisor in a timely manner.
- Apply global trade knowledge, including Incoterms, Harmonized System (HS) codes, and export/import regulations, to daily shipping activities.
- Use shipping and office software systems such as FedEx Ship Manager and UPS WorldShip to process and manage shipments.
- Communicate effectively with internal operations, overseas vendors, freight companies, and international clients, including those using English as a second language.
- Maintain strong awareness of United States Export Administration Regulations and Department of Transportation regulations relevant to shipping activities.
- Strong experience with picking, packing, and shipping in an international shipping and receiving environment.
- Practical knowledge of inventory handling and warehouse operations.
- Ability to operate or work around forklift equipment in a shipping and receiving setting, if required by the facility.
- Global trade knowledge, including familiarity with Incoterms such as FOB, CIF, and DDP.
- Understanding of Harmonized System (HS) codes and export/import regulations.
- Proficiency with Windows operating systems and MS Word, Excel, and Outlook.
- Experience using shipping and document systems including Adobe Acrobat, Kofax, FedEx Ship Manager, and UPS WorldShip.
- Excellent interpersonal communication skills for interacting with freight companies and internal operations personnel.
- Ability to communicate clearly via email and other channels with customers, freight companies, and internal stakeholders, including those who use English as a second language.
- Sound judgment and strong analytical skills for interpreting regulations and resolving shipping issues.
- Ability to read and understand legal terms and conditions related to shipping and trade.
- Proven ability to multi-task effectively in a fast-paced, high-pressure, and changing environment with minimal day-to-day supervision.
- Strong problem-solving skills to quickly troubleshoot shipping delays, port holds, and supply chain disruptions.
- Clear and confident communication skills to coordinate with cross-functional teams, overseas vendors, and international clients.
- Preferred but not required: Certified Export Specialist (CES) Certification.
- Preferred but not required: Knowledge of International Air Transport Association (IATA) Dangerous Goods Regulations.
- Strong willingness to stay current on United States Export Administration Regulations.
- Knowledge of Department of Transportation regulations related to shipping and logistics.
- Multilingual communication skills are highly beneficial for working with international clients and partners.
- Experience working with global freight forwarders and carriers in an international logistics or trade compliance role.
- Comfort with learning and using new shipping, logistics, and document management systems.

Work EnvironmentThe work environment centers around a busy shipping and receiving operation that supports international logistics and global trade activities. You will work with computers and standard office software, including Windows, MS Word, Excel, Outlook, Adobe Acrobat, and Kofax, as well as specialized shipping platforms such as FedEx Ship Manager and UPS WorldShip. Daily tasks involve handling shipping documents, coordinating with freight companies, and managing orders and inventory in a fast-paced setting. The environment may include warehouse areas where forklifts and other material-handling equipment are used, requiring attention to safety and adherence to facility procedures. Work is performed across multiple time zones, with frequent communication to overseas vendors, freight forwarders, and internal departments.

Pay and BenefitsThe pay range for this position is $19.00 - $19.00/hr.
