As a Scheduling Specialist II, you will be responsible for providing services to patients and referring professionals by answering phones, managing faxes and scheduling appointments. This role serves as a resource to the Scheduling team and a SME for other departments. This is a full time remote position, working 9a-5:30p CST, Rotating Saturdays. ESSENTIAL DUTIES AND RESPONSIBILITIES: (80%) Scheduling Activities * Serves as a SME (Subject Matter Expert) within the department * Answer phones and handles calls in a professional and timely manner * Maintain positive interactions at all times with patients, referring offices and team members * Schedule patient examinations according to existing company policy * Ensure all appropriate personal, financial and insurance information is obtained and recorded accurately * Ensure all patient data is entered into information systems completely and accurately * Ensure patients are advised of financial responsibilities, appropriate clothing, preparation kits, transportation and/or eating prior to appointment * Communicate any scheduling changes to technologists in order to ensure the highest level of patient satisfaction * Maintain an up-to-date and accurate database on all current and potential referring physicians * Handle overflow calls for other Centers within market to ensure uninterrupted exam scheduling for referring offices * Provide backup coverage for front office team members as requested by supervisor (i.e., rest breaks, meal breaks, vacations and sick leave) * Field 1-800 number calls and routes them to appropriate department and/or team member (St. Louis Park Support Center only) (10%) Insurance Activities * Pre-certify all exams with patient's insurance company as required * Verify insurance for same day add-ons * Use knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain authorization, if needed, prior to appointment (5%) Team Support * Function as an internal resource/SME for the team * Assist in the training and onboarding of new team members, as applicable * Support process improvement initiatives to improve scheduling accuracy and improve patient experience (5%) Other tasks and projects as assigned Required: * High school diploma, or equivalent * One (1) year medical scheduling and customer service experience * Two (2) years' demonstrated ability to serve as a resource to others and identify process improvement opportunities * Proficient using Microsoft Office Suite * Proficient with using computer systems and typing * Able to handle multi-level phone system with a high volume of calls at one time Preferred: * Two (2) years' medical scheduling and customer service experience * Medical terminology and previous clinical business office experience * Bilingual RAYUS is committed to delivering clinical excellence in communities across the U.S., driven by our passion for and superior service to referring providers and patients.
