Skylight Financial Group (SFG)
Location: Dublin, Ohio
Position Type: Full-Time | Salaried

About the Opportunity
Skylight Financial Group (SFG) is seeking a highly organized, detail-oriented, and proactive Events Coordinator to lead the planning, coordination, and execution of our firm-hosted meetings, conferences, and events.
This position plays an important role in creating exceptional experiences that bring together our financial professionals, staff, business partners, and guests. From large firmwide conferences to smaller meetings and special events, the Events Coordinator will oversee the many details that contribute to successful, professional, and engaging experiences.
The ideal candidate is a resourceful self-starter who enjoys managing multiple projects, thrives in a collaborative environment, and takes pride in delivering well-executed events. This individual should be equally comfortable developing an event plan, coordinating with vendors, managing logistics, and rolling up their sleeves to ensure everything runs smoothly.
Key Responsibilities
Firm Meetings & Event Management
- Coordinate all aspects of firm-hosted meetings, conferences, and events, from initial planning through execution and post-event follow-up.
- Collaborate with firm leadership and internal departments to develop event programming, agendas, schedules, and logistics.
- Serve as the primary point of contact for event venues, vendors, speakers, sponsors, and other external partners.
- Coordinate speaker and sponsor outreach, scheduling, logistics, and participation.
- Manage event sponsorship commitments, deliverables, and fulfillment.
- Oversee event scheduling, registration processes, RSVP tracking, and attendee communications.
- Partner with the Marketing Department to develop and implement event communication and promotional plans.
- Coordinate event materials, including invitations, signage, name tags, agendas, programs, décor, and giveaways.
- Organize and manage firm-owned event supplies, equipment, and materials.
- Coordinate event photography and videography, including scheduling, shot lists, and onsite logistics.
- Collect and organize event photos, videos, and other materials for post-event communications.
- Prepare post-event follow-up materials, including event recaps and photo organization.
- Collaborate with Operations staff across SFG's office locations to coordinate local logistics and onsite event execution.
- Provide onsite support and oversight to ensure events run efficiently and professionally.
Advisor Events & Local Office Support
- Serve as a resource to financial professionals and local offices seeking guidance and support for advisor-hosted events.
- Develop and maintain event planning resources, best practices guides, checklists, and toolkits.
- Coordinate the process for requesting and assigning available staff or volunteer support for advisor events.
- Provide event planning recommendations and logistical guidance to help advisors deliver successful client and business-development events.
Event Materials, Collateral & Print Coordination
- Collaborate with the Marketing Department to coordinate the development of event invitations, programs, presentations, signage, and related materials.
- Manage print production logistics, including vendor coordination, order placement, proof reviews, and delivery timelines.
- Assist with the preparation and distribution of event-specific brochures, presentations, and collateral.
- Ensure materials are accurate, professional, consistent with firm branding, and available when needed.
Event Administration & Operations
- Develop, maintain, and track event budgets, expenses, and related financial records.
- Monitor event-related expenditures and assist with invoice coordination and expense reconciliation.
- Maintain organized event timelines, project plans, checklists, and documentation.
- Track deadlines, deliverables, and outstanding action items to ensure timely completion.
- Maintain an organized inventory of event supplies and materials across SFG's office locations.
- Identify opportunities to streamline event planning processes, improve efficiencies, and enhance the overall attendee experience.
Qualifications & Experience
Preferred Qualifications
- Experience in event planning, event coordination, hospitality, marketing, project coordination, or a related field.
- Demonstrated ability to manage multiple projects, competing priorities, and deadlines simultaneously.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to work effectively with internal teams, leadership, vendors, and external business partners.
- Proficiency with Microsoft Office applications, particularly Outlook, Excel, Word, and PowerPoint.
- Experience coordinating event registrations, communications, budgets, and vendor relationships.
- Ability to work independently, anticipate needs, solve problems, and take initiative.
- Professionalism, adaptability, and a service-oriented approach.
Experience in financial services or a professional services environment is a plus, but not required.
What We're Looking For
The successful candidate will be someone who:
- Takes ownership: Follows projects through from beginning to end and takes accountability for results.
- Anticipates needs: Thinks ahead, identifies potential challenges, and addresses details before they become issues.
- Excels at organization: Keeps multiple events, deadlines, vendors, and deliverables moving forward simultaneously.
- Communicates effectively: Keeps stakeholders informed, follows up consistently, and builds strong working relationships.
- Thrives under pressure: Maintains composure, flexibility, and a solutions-focused mindset when plans change.
- Values the attendee experience: Understands that thoughtful planning and flawless execution contribute to meaningful, memorable events.
- Works collaboratively: Enjoys partnering with others while independently managing assigned responsibilities.
