Billing Specialist

Job Description The Billing Specialist processes the daily deposit forpaymentof attorney invoicesand isassigned tospecificebillingsystems and clients to ensure theattorney invoicesare properly uploaded for paymentapproval.TheBillingSpecialistalso performsa variety of other accountingduties,including collectionsaccording toourestablished policies and procedures. Maintains contact with attorneys, staff, vendors,clientsregardinginvoice status withtheE-Billingsystemsanddemonstratesconfidentiality of client and firm matters. Essential Job Functions: Submit invoices through various e-billing platforms. Performs the daily deposits. Applies paper checks,ACH/EFT payments, and credit card paymentsto theappropriate caseand invoice as directed by clientsdaily. Processes refunds for overpayments on invoices when needed, saving all documentation to the specific case in our system. Researchand applies prepaids in our system to theappropriate caseandmaintainsthe itemized prepaid spreadsheetdaily. Researchthe outstanding WIP for all clients in our system- processing deletions,updatingandmaintainingthe billing entriesin our system and the spreadsheeton a weekly basis for accuracy. Adding ACH clients upon request and maintenance of the ACH spreadsheet in our system for full accuracy. Maintenance of the spreadsheet for paper billed clients upon request when changes occur. Possible futurehandlingofspecific clients within assigned bill review systems. Researchandrespondto inquiriesregardingany billing issues and problems that occur with the processing of theclient-basedinvoices for approvaland payment. Communicates with the electronic bill review systems, attorneys,staffand adjusters for each client when needed,to ensure the invoices are successfully uploaded and approved. Workswith clients to ensure budgets and matter are added to the electronic bill review system which resolves anypossible rejectionissues that surface during the uploading process. Reviews and verifiesaccuracy of billing and supporting documentation asrequired. Is familiar with and applies Firm billing guidelines with each of their assigned clients within the bill review systems. Maintains collections of specific electronically billed clients. Saves collection efforts/emails to cases inoursystem. Processes write-offs following Firm policy. Creates and distributesaccountsreceivable reports when requested. Ensurestrict confidentiality at all times. Assistswith special projects as needed. Other duties as assigned. Qualifications High school diploma or GED (or equivalent)required;associate or bachelor's degreein accountingpreferred. 1-2+years e-billing and accounts receivableexperience in a law firm. Experience with ebilling platforms, e.g.,TyMetrix,LegalX, etc. Perfect LawLegalsoftwareexperiencepreferred. Proficiencywith MicrosoftOffice. Ability to handle a high volume ofinvoiceseachmonth. Ability toeffectivelycommunicatewith attorneys,staff,and clients. Ability to organizeworkflowsand use time efficientlyviamultitaskingand prioritization. Strong attention to detailin a fast-paced,ever-changing work environment and successfully adapt to changing priorities and work demands. Ability toanticipatework needs and follow through with minimum direction, follow up on own initiative Firm and Client Confidentialityrequired.
