Position Summary This position performs clerical duties, acts as a clinic/unit receptionist, and coordinates clinic/unit and patient activities internally and externally by using computers and phones. The role maintains an orderly reception station, waiting room, and handles registration, admitting, and discharging, greeting patients, scheduling appointments, filing, obtaining insurance authorizations, and assisting with basic patient care and telemedicine. Position Requirements Minimum Education: High school education or equivalent. Certificates Required: BLS (must be obtained within first 90 days); Office Laboratory Assistant license (within 90 days). Minimum Work Experience: Professional customer service skills. Previous clerical/unit clerk experience. Knowledge of basic medical terminology, proper grammar, and spelling. Basic computer skills. Basic arithmetic skills. Basic office equipment knowledge. Good organizational and multi‑tasking skills. Medical experience preferred. Ability to read and communicate in English; bilingual abilities preferred. Position Essential Functions Billing Knowledge of current policies and procedures. Communicate regarding registration, billing, insurance authorization questions. Use EHR to accept copays, verify insurance coverage, update patient billing information. Documentation Maintain accurate documentation for the healthcare team. Facilitate documentation from pre‑admission through discharge. Scan documents timely, as per medical records protocols. Assist with order entry, refill requests, pharmacy communication, and medication management. Document patient needs comprehensively for clinicians. Maintain accuracy of scheduling, patient communication, and documentation while handling reception duties. Computer Skills Register, verify, authorize patient accounts, and complete referral authorizations. Review record‑keeping system and recommend updates. Use EHR effectively for all job functions. Patient Care Check patients in using EHR and obtain necessary sign‑offs. Complete vital signs. Schedule initial and follow‑up appointments accurately. Maintain clinic forms centrally and update as needed. Facilitate medication refill requests and prior authorizations. Ensure a clean, organized, presentable environment. Assist with basic patient care duties. Communication Answer and direct phone calls professionally. Demonstrate professional phone etiquette and respond to client needs. Communicate daily with clinic staff, departments, management, and outside resources. Arrange follow‑up care, medication delivery, and test scheduling. Provide external results, records, or updates as approved.
