Job Summary The Herbert Wertheim College of Medicine is currently seeking a Clerkship Coordinator to join our team of professionals. The Pediatrics Clerkship Coordinator works primarily off‑site, at Nicklaus Children's Hospital, though some travel to the FIU Modesto Maidique Campus will be accommodated Duties Include Works with the Clerkship Directors, department personnel, and other relevant stakeholders to develop the content for the clerkship and to ensure compliance with the goals and objectives of the medical school and the policies of the Curriculum Committee. Works with clinical faculty and clinical staff to ensure efficiency of the clerkships at each site and that students are in compliance with the accreditation requirements of each clinical site. Prepares teaching materials and teaching schedules for the respective clerkship in a timely fashion, and maintains a common template appearance of materials. Maintains an understanding of the curricular goals, policies, and standards of their respective clerkship, department, and medical school. Participates in the preparation of Liaison Committee for Medical Education (LCME) accreditation materials when necessary for the Office of Medical Education. Assists with medical student participation in simulated learning activities at the Modesto A. Maidique Campus and clinical sites. Assists in preparation of simulated cases and incorporates new clinical material as required. Participates in Objective Structured Clinical Evaluations (OSCE), and collating evaluations. Ensures compliance with COM policies and procedures and institutional objectives. Monitors Clerkship curriculum assessment methods for adherence to the assessment methods developed within the school. Monitors relevant learning management systems for student compliance with core cases/core procedures. Monitors the performance of each student and compiles appropriate written documentation for the individual Clerkship Directors and the Strand Leader for Clinical Medicine. Uses data to create both short- and long-term reports and trend analysis. Responsible for creating student schedules at University affiliate sites and submitting onboarding requirements to appropriate sites while adhering to internal deadlines. Participates in or conducts the Year 3 clerkship orientation. Works with faculty to familiarize residents, graduate students, and postdoctoral trainees with clerkship objectives and with their respective roles in teaching and evaluating students. Serves as liaison to the faculty and clinical site administration to ensure efficient operation of the clerkship. Acts as a liaison for faculty preceptors and hospital staff/administrators at respective clinical sites. Acts as a resource for the policies and procedures of the FIU HWCOM. Consistently reviews the clerkship syllabus for accuracy and makes recommendations to the Clerkship Director. Monitors progress of student entry of patient encounters and prepares reports for the Clerkship Director. Attends Clerkship Director and Curriculum Committee meetings as necessary. Maintains an understanding of current practices in academic medicine. Maintains accuracy and timeliness of curriculum materials on the Learning Management System (LMS). Travels between Modesto A. Maidique campus and respective clinical site(s) regularly. Responsible for managing student data, and grades. Ensures accuracy of student record. Responsible for the timely processing and submission of final clerkship grades, ensuring strict adherence to the college's internal 4-week deadline to guarantee compliance with the institutional and LCME 6-week final submission standard. Responsible for scheduling student learning activities such as on campus lectures, simulated sessions and meetings. Coordinates sessions in conjunction with Course director and faculty availability. Manages the complex onboarding, badging, background clearance, and security credentialing processes for all third- and fourth-year medical students rotating at Nicklaus Children's Hospital across multiple disciplines (including pediatrics, neurology, psychiatry and surgery). Serves as the primary frontline administrative and technical liaison for Electronic Medical Record (EMR) access, coordinating directly with hospital IT to manage requests, provision access, and troubleshoot system barriers for third- and fourth-year students throughout their rotations. Ensures that all rotating students (not just year 3 pediatrics students, but any and all FIU students rotating at Nicklaus as part of a year 3 core clerkship or a year 4 elective/sub-internship) maintain strict compliance with Nicklaus Children's Hospital health, safety, and training mandates, functioning autonomously off‑site to clear students for clinical floor readiness. Minimum Qualifications Bachelor's degree and 1 year of experience ; OR 5 years of office or related experience; OR an equivalent combination of relevant education and/or experience.
