Administrative Support Specialist

The Mississippi Department of Education (MDE) seeks to employ an Administrative Support Specialist for the Office of the State Superintendent and the State Board of Education. Responsibilities include but are not limited to the following:

• Provides administrative support to the State Board of Education.
• Provides limited administration support to the Bureau of Internal Audit.
• Maintains the fixed asset records the State Board the fixed asset records for the State Board of Education and the Bureau of Internal Audit in accordance with the requirements set out in the MDE Employee Policy and Procedures Manual, Section 14.0.
• Purchases general office supplies for the Bureau of Internal Audit.
• Works with Executive Leadership administrative support team leaders to coordinate the functions of State Board of Education meetings and activities.
• Maintains confidential records in supporting the State Board of Educations including personnel actions, audits, and investigations.
• Coordinates the annual application and recruitment process for the Student Representative of the State Board of Education.
• Serves as the record keeper to ensure the Bureau of Internal Audit's leave complies with federal and state regulations and policies via the Statewide Payroll and Human Resource System (SPAHRS).
• Performs special projects at the request of the State Board of Education and the State Superintendent.
• Prepares subcommittee meeting schedules each month for all subcommittees, secures meeting facilities, and drafts public notices.
• Serves as the liaison to the Internal Accountability Subcommittee by preparing the meeting binders, agenda, backup material, public notices, and drafting minutes for the meetings.
• Updates board policies related to board operations and the Bureau of Internal Audit.
• Secures annual surety bonds for the agency, State Superintendent, and board members.
• Onboards new board members, including student board members.
• Performs other duties as assigned.

What you'll need to be successful:

• Proficient in Microsoft Office.
• Excellent oral and written communication skills.
• Ability to multi-task.
• Preferred Qualifications: Typically requires a Bachelor's Degree, or High School Diploma or equivalent and 4-6 years of experience.
