This role sits directly between the CFO and the accounting team and is responsible for ensuring that high-volume, complex billing is executed accurately, consistently, and on time.Core ResponsibilitiesBilling Operations Leadership (Primary Focus)Directly supervise billing and cash application functions (majority of team)Own the daily billing workflow in a high-volume, job-based environmentProvide hands-on support to resolve billing issues, discrepancies, and delaysEnsure invoices accurately reflect job details, pricing structures, and customer requirementsMonitor billing throughput, backlog, and cycle timesPartner with sales, project managers, and operations to ensure billing inputs are complete and accurateSales Tax Execution & ComplianceApply company-defined sales tax policies across multi-state transactionsEnsure consistent tax treatment across diverse offerings (print, branded merchandise, e-commerce, design, etc.)Identify and escalate complex or unclear tax scenarios to CFOMaintain documentation and ensure adherence to tax proceduresSupport compliance processes, filings, and audit readinessAccounts Payable OversightOversee accounts payable operations within the broader accounting functionProvide guidance to a dedicated AP lead and coordinate shared support from billing staffEnsure timely invoice processing, approvals, and vendor paymentsMaintain controls over disbursements and vendor setupResolve discrepancies and ensure coordination between AP and billing workflowsClose Support (A/R & A/P Focus)Support monthly close activities related to:Billing completeness and cutoffA/R activity and cash applicationA/P invoice cutoff and accrual supportEnsure subledger accuracy and readiness to meet close timelinesAssist CFO in resolving issues impacting financial accuracy and timelinessProcess Documentation & Procedure DevelopmentPartner with CFO to document and formalize billing, A/R, and A/P proceduresTranslate policies into clear, repeatable workflows, checklists, and training materialsEstablish consistency across complex and variable billing scenariosTrain team members and reinforce adherence to standardized processesContinuously refine procedures based on operational issues and team feedbackTeam Leadership & Daily ManagementLead and coordinate a team of approximately 8 employees across billing, cash application, and accounts payableProvide active, day-to-day supervision—not just review—of transactional workManage workload distribution, priorities, and bottlenecks across functionsSet expectations around accuracy, productivity, and accountabilityDevelop team capabilities and improve overall operational performanceOperational Authority & CFO CoverageAct as the primary accounting operations lead during CFO absence (e.g., PTO)Approve routine transactions including:Vendor payments (within established thresholds)Standard billing output and adjustmentsCustomer credits and routine A/R decisionsEnsure continuity of billing and disbursement operations without interruptionApply established policies consistently while escalating non-routine, high-risk, or judgment-based decisionsSupport adherence to documented approval limits and escalation protocolsReasonable accommodation may be made to enable individuals with disabilities to perform the functions of the job.RequirementsRequired Qualifications:Bachelor's degree in Accounting, Finance, or related field5+ years of accounting experience with direct billing/invoicing responsibilityExperience supervising transactional accounting teams (5+ employees preferred)Experience in high-volume, process-driven environmentsStrong attention to detail and process disciplinePreferred QualificationsExperience in job-based, project-based, or order-driven businessesExposure to multi-state sales tax environmentsIndustry experience in print, manufacturing, or marketing servicesExperience with ERP or job management systemsCore CompetenciesPrioritization, organization, and problem solvingCoaching and developing team membersCustomer/client focusedConfident communicator who is comfortable reaching out to our internal and external customersExcellent verbal and written communication skillsWorks well with others, as well as the ability to use sound independent judgmentExcellent time management skills with a proven ability to meet deadlinesMust be reliable and dependableMust be flexible and able to handle high pressure projects and situationsAdditional Details:Work Environment:This job operates in a professional office environment.
