Office Assistant IV

Position Overview Employees perform a variety of office assistant tasks as generalists in support of administrative, program or technical operations. Duties include records, reports and filing activities, public contact, office equipment operation, composition, and other general office duties. Work requires knowledge and use of applicable office equipment systems and related technology. Some employees may spend a large percentage of time on office machine operation to support overall work unit production. Several software packages may be used to enter, retrieve, verify, update, research, and/or authorize actions. The variety and complexity of these packages may increase as the level of responsibility increases. Responsibilities Perform a variety of ongoing work functions including records, reports, and filing activities. Provide public contact support and resolve inquiries. Operate office equipment and use related technology. Compose, format, and proofread correspondence, reports, and other materials. Record, compile, summarize, and perform basic analysis of narrative and numerical materials. Apply office procedures and policies to problem‑solving and responding to questions. Coordinate and monitor office procedures and workflow. Schedule and coordinate appointments, meetings, and conferences. May supervise or coordinate the work of additional staff, student workers, or volunteers. Qualifications High school graduation and at least two years of office assistant/secretarial experience or equivalent training and experience. Significant knowledge of office or work unit procedures, methods, and practices. Ability to use correct grammar, vocabulary, spelling, and office terminology. Strong organizational and time‑management skills. Ability to learn and apply laws, departmental rules, and regulations. Ability to use judgment in coordinating and monitoring office procedures and workflow. Excellent interpersonal skills and courtesy in sensitive public contact situations.
